Lease Admin Analyst
Job Summary
As a Lease Administration Analyst, you will be responsible for conducting reconciliations for small to medium-sized clients to ensure operating expenses follow lease terms. Under limited supervision, you will uphold the integrity of a real estate portfolio data for a large, complex global portfolio of clients. You will assist asset manager(s) in reviewing invoices and contractual terms.
Key Responsibilities
- Financial Administration & Support:
- Purchase Order lifecycle for leased asset portfolio, requesting POs, tracking and monitoring POs, and ensuring funds are appropriately allocated.
- Account Payable Oversight: serve as primary point of contact for AP-related inquiries; validate invoices meet contractual terms; resolve or escalate billing discrepancies to the Asset Manager.
- Monitor and report on invoices to ensure billings align with vendor obligations and agreed-upon financial terms.
- Compliance & Certificate Management:
- Proactively collect, track, and maintain all required industry certificates from the leased service providers to ensure portfolio-wide compliance.
- Ensure service providers adhere to mandatory regulatory and internal operational standards.
- Contractual & Operational Support:
- Ad hoc contract review: provide support for periodic and ad hoc reviews of vendor contracts to ensure alignment with current operational requirements.
- Deliver reporting to the lease asset management team and leads regarding vendor compliance and status.
Required Skills
- Lease asset management experience (background in leasing asset management is ideal)
- Experience revising portfolios and invoices (small to medium scale)
- Experience working in commercial real estate, including reviewing invoices, purchase orders, and contracts, and the ability to approve or advance them
- Knowledgeable in reviewing rent invoices and applying lease terms
- Experience with AP/PO processes and lease administration
- Experience with accruals, invoice review, reconciliation, PO coordination, AP coordination, contract review, vendor invoice research, and resolution
- Proficient with spreadsheets at an intermediate-to-advanced level: creating formulas, running reports, and managing extensive, detailed spreadsheets (Google Suites / Excel)
- Google Suites proficiency
- Reporting tools experience — Looker Studio preferred; Power BI comparable
- Salesforce experience
- Self-starter with the ability to work under limited supervision

- Property management experience in commercial real estate
Required Experience
- Minimum of 3 years of relevant experience in lease administration, commercial real estate, or a closely related field, with strong alignment to the scope of the role (invoice review, reconciliation, PO/AP coordination, contract review, vendor invoice research and resolution)
Education Requirements
- Bachelor's degree preferred; hiring manager is open to equivalent experience in lieu of degree
