Pay

The pay range for this position is $20.89 - $30.20 per hour, based on direct and relevant experience.

Schedule

This is a full-time position with 8-hour shifts between 7:00 AM and 5:00 PM, Monday through Friday.

Responsibilities

  • Registration (30%)
    • Greet and check-in patients scheduled for imaging services; process payments as needed
    • Answer phones and handle calls efficiently and courteously
    • Field phone calls appropriately for Center Team Members
    • Act as a liaison between imaging technologists and patients, relaying messages about scanner status and clinic updates
    • Maintain the front office lobby by organizing supplies, straightening magazines, and assisting with general cleanup
    • Order office supplies as needed
    • Maintain patient information sheets
    • Push patient imaging via electronic interfaces
    • Complete patient appointment confirmation calls and provide preparation instructions
    • Fax, scan, and handle reports, billing information, and medical release forms as requested
  • Scheduling (15%)
    • Arrange transportation, interpreters, and hotel accommodations for patients when appropriate
    • Enter and submit patient exam orders
    • Verify patient exam orders match exam schedules
    • Schedule referrals and ensure proper authorizations are obtained
    • Schedule walk-in patients
    • Process requests for image orders and CDs from referring physicians and patients
    • Maintain an up-to-date pending-scheduling list
    • Maintain an accurate database of current and potential referring physicians
  • Insurance (15%)
    • Verify patient's insurance coverage
    • Pre-certify all patient exams with the patient's insurance company
    • Obtain insurance authorizations
    • Apply knowledge of insurance carriers (e.g., Medicare) and procedures requiring waivers to obtain pre-authorization prior to appointments
    • Facilitate Release of Information (ROI) requests for patients, referring offices, medical facilities, attorneys, and insurance companies following company guidelines
  • Functional Team Leadership (35%)
    • Coordinate the training and onboarding of new team members
    • Assist the Supervisor or directly facilitate and lead regular team meetings and one-on-ones
    • Assist with the hiring process for new team members
    • Monitor and approve assigned team member timecards
    • Initiate or participate in annual performance evaluations, learning/development, and performance management of assigned team members
    • Assist with developing team member schedules to ensure appropriate staffing and coverage
    • Evaluate workflows and implement process improvements for the team/department
    • Ensure the team is knowledgeable about company and department policies and procedures
    • Proactively support team members to maintain the highest level of patient satisfaction
    • Manage the department in the absence of the supervisor and coordinate schedules to ensure coverage
    • Lead special projects and/or committees as assigned
  • Other Duties (5%)
    • Complete other tasks and projects as assigned

Requirements

  • High School Diploma or equivalent
  • Four (4) years of customer service experience
  • Two (2) years of medical front office experience, with demonstrated ability to serve as a resource, train and coach team members, and identify process improvements
  • Demonstrated knowledge of medical terminology
  • Experience leading or mentoring others
  • Business office experience with minimal processing errors
  • Medical insurance knowledge
  • Highly proficient in using computer systems and typing
  • Solid working knowledge of Microsoft Office Suite (Outlook, Word, Teams, Excel)

Preferred Qualifications

  • Associate degree in a medical-related field
  • Previous experience directly supervising others
  • Bilingual
