About the role

We are looking for an organized and highly motivated individual to provide support to the Bureau of Data Modernization and Interoperability (BDMI). BDMI is a unit devoted to the modernization and interoperability of data systems in DHSS and is made up of 22 staff. As the Lead Administrative Support Assistant, you will provide support to BDMI and assist other units if needed.

Responsibilities

  • Answer the main phone line and schedule meetings.
  • Process payments for data requests and communicate with external partners.
  • Manage and track the flow of fiscal notes for the respective units ensuring deadlines are met.
  • Submit, monitor, and track invoices utilizing Smartsheet submission and tracking.
  • Track documents through the approval process.
  • Track the flow of documents needing Division review/approval and provide regular status updates to the unit managers.
  • Aid with business travel which includes, lodging, car reservations, conference registrations, etc.
  • Proof documents, letters, memos, and policies.
  • Complete necessary forms and help desk tickets for new and/or departing employees.
  • Process expense reports, purchase requests, and manage fixed asset inventory.
  • Support the confidential processing of personnel information.
  • Maintain program supplies and order as needed.

Requirements

  • Graduate with a High School Diploma or High School Equivalency.
  • Minimum 3 years relevant experience (substitutions allowed).
  • Good telephone skills and customer service.
  • Well organized and an ability to pay attention to detail.
  • Excellent skills with standard office software (Word, Excel, Powerpoint, Outlook, etc.) with the ability to learn specialized software systems.
