Clinic Intake
- Schedules medical, dental, behavioral health, nutrition, and psych appointments
- Directs calls and EMR encounters throughout the agency
- Checks insurance eligibility for all patients scheduled for the following day
- Makes follow-up calls for providers
- Confirms “next day’s appointments”
- Greets and provides superior customer service to patients, guests, clients, and vendors
- Communicates clearly on the phone and accurately takes and delivers messages
- Covers Saturday shifts on a rotating basis amongst the Access Coordinator Team
Documentation
- Performs general administrative tasks
- Filing, organizing, data entry and billing
- Processes patient/client data entry in various electronic systems
Administrative
- Manages receipt and routing of agency mail (incoming and outgoing)
- Manages cash box reconciliation daily
- Aids and directs callers and visitors to appropriate employees and departments
Orientation, Training, and Assisting Volunteers
- Assists and trains interns, volunteers, and Access Coordinator Team members
- Manages receipt and routing of agency mail, faxes, and deliveries (incoming and outgoing)
- Manages cash box reconciliation and transactions log daily
- Aids and directs callers and visitors to appropriate employees and departments
Enrollment and Supervision
- Completes a Daily Status report, sent to Operations Leadership
- Ensures Next Day Insurance Verification
- OnBase Number of Faxes left
- Staffing status for next day
- Helps coordinate and delegate administrative assignments, schedules, front desk roles and responsibilities in collaboration with the Operations Team
- Ensures weekend clinic days and second floor desk are effectively covered for the Access Coordinator team
