About the Role
Incumbent works under the direction of a Bureau Captain or designee, performing clerical and administrative support functions for the operations of the Sheriff's Department.
Essential Functions
- Review and process various legal documents (e.g. warrants, protection orders, affidavits, vehicle titles) received or generated by the Sheriff's Department and Courts.
- Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the public.
- Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
- Enter and update information from legal documents, reports, correspondence, and forms.
- Monitor and utilize state and federal systems (e.g. NCIC, NCIS, LETS) to disseminate information.
- Conduct research, update criminal records, determine inspected vehicle's ownership status and aid in operations designing and updating documents.
- Establish, process, and maintain accurate records of transactions (e.g. furniture status, undercover license plates).
- Calculate fees, balance receipts, and prepare deposit to the appropriate account.
- Audit financial transaction reports and bank statements; balance and reconcile identifying discrepancies.
- Prepare and submit billing statements, process payment received.
- Assist customers obtaining document copies issued by the Sheriff's Department.
- Collect and process fees ensuring accuracy in handling cash and other funds.
- Answer and direct calls; greet and direct visitors issuing visitor passes and requesting an escort.
- Respond to questions and inquiries within level of expertise, referring unusual questions and inquiries to supervisors.
- Assist in training and supervision of employees.
- Schedule training classes for department personnel.
- Perform secretarial functions in the absence of the Administrative Coordinator.
- Maintain knowledge and job skills (e.g. research, webinars, seminars, meetings, continuing education).
- Sort and distribute mail.
- Calculate payroll related figures (e.g. overtime, paid leave time, shift differential, assumption of duty) for assigned area.
- Prepare annual attendance calendar for all department employees.
- Prepare, process, and maintain documentation for all purchase orders and invoices.
- Create various certificates of completion for distribution.
- Issue red light permits in accordance with state statute.
- Maintain criminal defendant transportation records and sworn personnel activity logs.
- Ensure completeness of court writs, rulings, and other processes related to prisoners in custody or remanded to the custody of the Sheriff's Office by the various courts.
- Monitor prisoner security and movement (e.g. holding cells, prisoner elevator, and Sheriff's garage).
- Maintain various records, reports, correspondence, and documents.
- Perform clerical and cashier duties at Sheriff's sales.
- Perform all duties of Law Enforcement Technician I.
- Serve civil process.
- Serve as a Notary Public.
- Report to work at assigned location with regular, consistent attendance.
- Perform other duties as assigned and directed.
Requirements
- High school diploma or the equivalent required.
- Four (4) years clerical experience required.
- Two (2) years legal terminology or court system experience or two (2) years as a Law Enforcement Technician I required.
- Two (2) years of MSOffice experience required.
- Must type/keyboard 25 net wpm.
- Completion of a pre-employment criminal record check, conditional offer drug screen and physical assessment required.
- Must complete all job-related training and certification, as required by state and federal statutes and departmental procedures, within the first six months of employment.
- Equivalent combination of education and work experience may be substituted for requirements on a year for year basis.

- Work is generally performed indoors in an office setting. Noise level is usually moderate.
- Hours of work are generally standard day-shift hours however work hours may occasionally include weekend, emergency call-in and overtime hours.

- Incumbents may encounter uncooperative or irate persons while performing duties.
- Work requires some physical activity, including extended periods of sitting and standing, frequent walking, and occasional balancing, kneeling, bending, and reaching.
- Work also requires the ability to frequently lift and carry supplies, equipment, and documents weighing up to 25 pounds, and occasionally up to 50 pounds.
- Required sensory abilities include vision, hearing, and touch. Visual abilities, correctable to normal ranges, include close, distance and color vision, depth perception, and the ability to adjust focus.
- Communication abilities include the ability to talk and hear within normal ranges.
- Incumbent must possess the hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
