About the role
The Lab Administrative Assistant will assist with the completion of daily paperwork for IVF procedures, collaborate with the physician of the day to organize operating room schedules, support senior embryologists in specimen handling, facilitate consent processes, communicate with patients, and help maintain an organized documents management system.
Responsibilities
- Assist with the completion of daily paperwork for IVF procedures.
- Collaborate with the physician of the day to organize operating room (OR) schedule, ensuring efficient planning and appropriate staffing.
- Support senior embryologists in receiving, documenting, and shipping cryopreserved specimens (eggs, embryos, and sperm) to and from external facilities as required.
- Facilitate the process of sending consents to patients and ensure all forms and patient data are accurately input into the lab’s system, maintaining confidentiality and compliance with all regulatory standards.
- Absorb and document discard processes for specimens according to established lab protocols, ensuring proper documentation and adherence to legal and ethical guidelines.
- Communicate with patients in person, via phone, and email to create a strong relationship, advocating and representing the lab and its members to other departments.
- Aid in organizing various types of records into correct categories and establishing an organized documents management system for ready access and retrieval of current and archived records and forms.
- Perform other administrative duties as needed to ensure the lab operates smoothly, including organizing supplies, maintaining records, and assisting with communication between the lab and other departments.
Requirements
- High School diploma with some college level course work required; bachelor’s degree preferred.
- A minimum of 1 years’ experience in office administration preferred.
- Strong computer skills including demonstrated proficiency with MS Office (Excel & Access).
- Good customer service skills and strong customer orientation.
- Excellent attention to detail and accuracy in data entry and documentation.
- Previous experience in an administrative role, preferably in a medical or laboratory setting.
- Strong organizational and multitasking skills, with the ability to manage time-sensitive tasks effectively.
- Knowledge of HIPAA regulations and the ability to maintain confidentiality.
- Strong communication and interpersonal skills, both written and verbal.
- Background in Health Administration preferred.
Qualifications and Skills

Pay
$20 to $22 per hour (commensurate with experience)
Schedule
Monday through Friday, 7:00 AM to 3:30 PM Central Time
