About the role

Rythm Health is a growing diagnostics and healthcare company based in Omaha, Nebraska. We're looking for a proactive, detail-oriented Administrative Assistant to be the friendly first point of contact for our office and a key partner in keeping our day-to-day office operations running smoothly.

Responsibilities

  • Front Desk & Reception: Greet visitors, candidates, and vendors, and manage sign-in/badge procedures. Receive, sort, and distribute general incoming mail and office packages; coordinate outgoing shipments for office and laboratory needs.
  • Meeting & Calendar Support: Schedule and coordinate lab meetings, team meetings, and interviews, including room and calendar management. Take notes/minutes during meetings and distribute action items and summaries. Help coordinate logistics for larger meetings, offsites, or visits from partners/investors.
  • Office & Vendor Management: Order and maintain inventory of office and kitchen supplies. Coordinate team meals and catering (e.g., via DoorDash, ezCater) for routine needs and special meetings and events. Serve as point of contact for office vendors, building management, and service providers (cleaning, maintenance, deliveries). Keep common areas, kitchen, and reception area organized and presentable.
  • General Administrative Support: Support onboarding logistics for new hires (workstation setup, welcome materials, first-day coordination). Assist with drafting, formatting, and proofreading correspondence, documents, and internal communications. Maintain organized digital and physical filing systems. Support basic data entry and recordkeeping for HR, operations, or lab administrative needs. Assist with travel arrangements and expense tracking as needed. Provide backup administrative support to leadership as needed. Take on other administrative projects and duties as assigned.

Qualifications

  • Bachelor's degree preferred.
  • 2+ years of experience in an administrative, receptionist, or office support role preferred.
  • Strong organizational skills with the ability to juggle multiple priorities and deadlines.
  • Excellent written and verbal communication skills, with a professional and welcoming demeanor.
  • Proficiency with Microsoft Office and/or Google Workspace (Word/Docs, Excel/Sheets, Outlook/Gmail, calendars).
  • Discretion in handling confidential or sensitive information.
  • Self-starter who is comfortable taking initiative and working with minimal supervision.
  • Prior experience in a healthcare, laboratory, or startup environment is a plus, but not required.
