The Payroll Specialist at Terrestris, LLC will coordinate and support payroll functions within the Accounting team, ensuring timely, accurate, and compliant payroll processing. This role requires an understanding of government contracting compliance, federal and state labor laws, and payroll regulations. Key responsibilities include:

  • Processing payroll in Paylocity and performing administrative data entry tasks
  • Maintaining accurate financial records in QuickBooks Desktop
  • Processing Accounts Payable (A/P) and Accounts Receivable (A/R) transactions
  • Supporting the CFO with bank and account reconciliations
  • Organizing and maintaining financial documentation and filing systems
  • Preparing and analyzing financial statements (balance sheets, income statements, cash flow)
  • Paying vendors using ACH or Wire Transfers
  • Generating management reports and financial presentations
  • Monitoring compliance with tax laws, regulations, and government requirements
  • Supporting DCAA, GSA, and IRS audit readiness and responses
  • Aiding in budgeting, forecasting, and variance analysis
  • Improving internal controls and recommending process improvements
  • Investigating and resolving accounting discrepancies
  • Collaborating cross-functionally with HR, Business Development, and Operations teams

The Payroll Specialist will handle both exempt and non-exempt employees, ensuring timely, accurate, and compliant payroll processing. This role involves understanding government contracting compliance, federal and state labor laws, and payroll regulations. Collaboration with Accounting, HR, and program teams is essential for smooth operations and compliance.

Requirements

To qualify, candidates should have authorization to work in the U.S. permanently, a bachelor’s degree in Business, Finance, or Accounting (or equivalent education/experience), and 1+ years of experience in accounting, finance, or payroll roles. Experience with ERP payroll systems such as Paylocity, Paychex, or similar, proficiency in QuickBooks Desktop, and solid understanding of GAAP, A/P, A/R, payroll processing, and reconciliations are preferred. Strong problem-solving, data analysis, and decision-making skills are also required.

Qualifications

Qualified candidates should have excellent communication skills, both oral and written, and be highly organized with the ability to multitask and meet deadlines. Proficiency with Microsoft Office (Excel, Word, PowerPoint, Teams, Outlook) is beneficial, and experience working in cross-functional or multicultural environments is a plus.
