About the role

Supervise the day-to-day operations of an assigned court, including supervising staff, coordinating special projects, conducting training, providing management support, and producing and reviewing reports. This position serves at the pleasure of the Judge or other appointing authority.

Responsibilities

  • Supervise, direct, and evaluate assigned staff; develop and oversee employee work schedules; compile and review timesheets; approve/process employee concerns and problems; counsel or discipline as appropriate; assist with or complete employee performance appraisals; direct work; act as a liaison between employees and management; and train staff in operations, policies, and procedures.
  • Organize, prioritize, and assign work; schedule work activities to meet objectives; ensure subordinates have proper resources; monitor status of work in progress and inspect completed work; assist with complex/problem situations and provide technical expertise; provide progress and activity reports to management; and assist with revision of procedure manuals.
  • Ensure compliance with assigned court rules, local policies, and statutory requirements; implement updates as needed; oversee implementation of policies and procedures to streamline processes, reduce inefficiencies, and improve workflow.
  • Supervise and participate in the filing of court documents; supervise the collection of fines and fees; receive reports of funds collected and received; prepare deposits; supervise and participate in preparation and maintenance of court calendars.
  • Generate and review reports related to daily operations and activities to audit work performed by subordinates; ensure accuracy of payroll deadlines; review, verify, and approve complex daily functions.
  • Process documentation associated with department/division operations within designated timeframes; review, complete, process, forward, or retain payroll reports, personnel reports, employment documents, status reports, and budget confirmations; prepare forms, reports, correspondence, and other documentation; compile data for department reports; and maintain computerized and/or hardcopy records.
  • Operate a personal computer to enter, retrieve, review, or modify data using word processing, spreadsheet, database, presentation, Internet, or email software; operate general office equipment.
  • Communicate with supervisor, employees, County department heads, outside agencies, and individuals to coordinate work activities, review status, exchange information, or resolve problems.
  • Perform other related duties as assigned.

Requirements

  • Associate degree in administrative services, business, human resources, or related field.
  • Three years of related experience providing administrative support in a court or legal environment, including supervisory experience.
  • Valid Georgia driver’s license.
  • Valid Notary certification.

Skills

  • Knowledge of local government operations, juvenile court programs, policies, and modern office practices.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and similar programs.
  • Skill in using computers and software applications related to essential job functions.
  • Effective verbal and written communication skills.
  • Ability to interact courteously and effectively with employees and the public.
  • Ability to work flexible hours, including evening meetings.
  • Ability to multitask and meet deadlines.
  • Ability to handle confidential and sensitive matters.
  • Ability to work with budgets and process payments.
  • Ability to use computers for data entry, word processing, and accounting.
  • Ability to operate office equipment such as copying machines.

Physical Demands

Light work requiring exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Requires mental acuity, including the ability to make rational decisions, express ideas verbally, and maintain close visual acuity.

Work Environment

Work is performed in a relatively safe and secure office environment.
