About the role
As a Jr. Staff Accountant, you will support the day-to-day financial operations of the agency, specifically managing essential functions within Accounts Receivable (AR) and Accounts Payable (AP). This role plays a critical part in managing our relationships with our external partners—including freelancers, creative contractors, and media vendors. Fitzco is ever evolving and growing, and the responsibilities in this role may shift from time to time.
What You'll Do
- Accounts Payable & Receivable: Manage day-to-day AP and AR pipelines, ensuring accurate coding, invoice entry, client billing, and timely payment collection. Open jobs as needed. Process cash receipts.
- Vendor & Contractor Billing: Set up vendors. Oversee end-to-end billing workflows for freelance talent, creative contractors, and third-party production/media vendors.
- Media & Production Reconciliations: Work closely with account and production teams to clear client-related billing, track expense authorizations, and reconcile vendor statements.
- General Ledger Support: Assist in month-end closing procedures, prepare journal entries, and compile key supporting documents for financial reporting.
- Detail & Organization: Maintain impeccable digital filing systems for invoices, contracts, tax documents (W-9s), and payment records.
- Manage and incorporate feedback thoughtfully and quickly.
- Think proactively and collaboratively.
- Reporting: Media QA Reports, Review Expense Reports, Client & Agency reporting, etc.
- Administrative: Responsible for checking/responding to/forwarding messages to and from the Accounting, Remits, and Vendor Outlook mailbox accounts.
What You'll Need To Succeed
- Experience: 2–3 years of direct, hands-on experience in Accounts Receivable (AR) and Accounts Payable (AP).
- Industry Background: Previous experience working within an Advertising, Marketing, or Creative Agency setting is highly preferred.
- Software Proficiency: Prior experience using NetSuite is highly preferred. Experience with Prisma (or similar media buying/billing software) is highly preferred. Strong proficiency in Microsoft Excel (VLOOKUPs, pivot tables).
- Skills & Attributes: Exceptionally organized with a high attention to detail; you catch the discrepancies others miss. Excellent communication skills—able to interact professionally with agency leads, external vendors, and freelance talent. Self-motivated and comfortable managing deadlines in a dynamic, fast-moving agency environment.
