About the role
The Job File Coordinator plays a critical role in ensuring restoration projects are properly documented, organized and compliant with customer, insurance and program requirements. This position is ideal for a highly organized, detailed-oriented professional with strong computer skills, the ability to review documentation for accuracy and completeness and a talent for managing multiple priorities in a fast-paced environment.
Responsibilities
- Monitor and maintain job file status throughout the project lifecycle.
- Review field documentation, photos, notes and supporting records for accuracy and compliance.
- Ensure all required job documentation is complete and meets client, insurance carrier and program standards.
- Coordinate with project managers, production teams, customers and insurance representatives to obtain missing information and updates.
- Maintain accurate job records in company software systems and prepare reports as needed.
- Perform job file audits, quality checks, backups and close-out activities.
- Support invoicing and administrative processes to help ensure timely project completion.
- Provide professional customer service and maintain effective internal and external communications.
Requirements
- Administrative, office coordination, project coordination or customer service experience.
- Excellent organizational skills and exceptional attention to detail.
- Ability to read, interpret and evaluate documents for accuracy, completeness and compliance requirements.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and work effectively in a fast-paced team environment.
- Experience in restoration, construction, insurance or service-related industries is preferred.
- Ability to learn new software and systems quickly.
- Xactimate software experience is highly desirable but not required.

Pay
$65,000–$70,000 per year
