About the role

The Itinerary Coordinator operates within cultural, heritage, pilgrimage, and group-tour planning, focusing on destination, booking, supplier, sales-support, and traveler-service workflows. This role specializes in itinerary-focused coordination, ensuring travel planning and service execution align with the specific demands of these workflows.

Key to this position is maintaining clear separation between confirmed facts, pending dependencies, and exceptions while executing itinerary coordination. Every checkpoint must document a visible source, owner, status, and next action, following an itinerary-focused, coordination-owned work profile.

Responsibilities

  • Document itinerary-focused coordination with supplier alignment, ensuring traceability of source, owner, status, and next action within cultural, heritage, pilgrimage, and group-tour workflows.
  • Maintain role documentation and status tracking for itinerary coordination, adhering to the same visibility and ownership standards.
  • Reconcile reservation systems with deadline management, ensuring all dependencies and exceptions are clearly tracked and escalated as needed.
  • Coordinate documentation with reporting to maintain transparency and accountability in the itinerary coordination process.
  • Review quality control and workflow management to surface repeated errors before they result in downstream rework.

Requirements

  • Confidently use The Travel Experts UK Workflow Context and Travel Planning tools to support itinerary coordination in cultural, heritage, pilgrimage, and group-tour workflows.
  • Apply data accuracy standards without losing track of evidence or deadlines in an itinerary-focused workflow.
  • Document process compliance and issue escalation decisions to ensure reasoning remains clear and traceable.
  • Exercise judgment in follow-up actions, particularly when coordination depends on external confirmations rather than assumptions.
  • Pass the role-specific handoff test by ensuring issue escalation, exception tracking, and documentation are current and complete before work is considered finalized.

Position Details

This is a full-time, associate-level role, 100% remote within the United States.

Pay

Base salary: $42,000–$65,000 per year.
