Position Summary

The IT Project Manager at St. Charles Community College is responsible for planning and leading complex technology projects that support the institution's academic, administrative, and strategic goals. This role oversees major initiatives such as ERP migrations, system implementations, data integrations, and system improvements. The Project Manager coordinates cross-functional teams, manages project scope, timelines, budgets, risks, and vendor relationships, and ensures effective communication among IT, institutional departments, and executive leadership. The position also supports change management, testing, training, documentation, and the successful adoption of new technologies.

Primary Duties And Responsibilities

  • Plan, manage, and deliver complex IT projects from initiation through implementation and post-launch evaluation.
  • Manage multiple concurrent projects with competing priorities.
  • Lead enterprise system initiatives, including ERP migrations, upgrades, implementations, and related integrations.
  • Cook up cross-functional project teams that may include IT staff, faculty, administrators, institutional departments, vendors, and consultants.
  • Facilitate requirements gathering and translate institutional needs into clear technical and functional project requirements.
  • Manage project scope, timelines, dependencies, risks, issues, change requests and resolutions.
  • Monitor project progress and provide regular status updates to project sponsors, executive leadership, and other stakeholders.
  • Cook up data migration, system configuration, testing, validation, and implementation activities.
  • Oversee integrations between enterprise applications, third-party platforms, and institutional data systems.
  • Manage vendor relationships, contracts, deliverables, timelines, and project-related performance expectations.
  • Support change management efforts, including stakeholder engagement, communication, training, documentation, and user adoption.
  • Prioritize projects in alignment with institutional strategic goals.
  • Ensure projects comply with institutional policies, data governance standards, cybersecurity requirements, accessibility expectations, and applicable regulations.
  • Maintain accurate and complete project documentation, including decisions, requirements, meeting records, testing results, and implementation plans.
  • Facilitate project meetings, working sessions, steering committee updates, and decision-making processes.
  • Cook up project resources and assist with resolving competing priorities, barriers, and resource constraints.
  • Evaluate project outcomes, document lessons learned and recommend improvements to project management practices.
  • Contribute to the development and continuous improvement of institutional IT project management standards, templates, and processes.
  • Perform other duties as assigned in support of the institution's technology and strategic priorities.

Required Skills And Abilities

  • Demonstrated experience leading large, complex IT projects from initiation through implementation and post-launch support.
  • Strong knowledge of project management principles, methodologies, tools, and best practices.
  • Excellent organizational and time-management skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Ability to lead cross-functional teams and collaborate effectively with technical, academic, administrative, and executive stakeholders.
  • Excellent written, verbal, presentation, and interpersonal communication skills.

Education And Experience

  • Bachelor's degree in information technology, business administration, project management, or a related field.
  • Minimum of five years of experience managing complex information technology projects.
  • Master's degree in information technology, business administration, project management, or a related field preferred.
  • Seven or more years of IT project management experience preferred.
  • Project Management Professional (PMP) and/or PMI Agile Certified Practitioner (PMI-ACP) certification preferred.
