IT, Project Coordinator

Responsibilities

• Maintain accurate project records by updating project tasks, timelines, reporting, and status updates in project management software
• Follow established processes and workflows
• Work closely with cross-functional teams to integrate new technologies into existing processes and products
• Cook with internal departments and external vendors to ensure timely completion of assigned tasks
• Aid with event day vendor management including, arrival logistics, parking access, meal vouchers, uniforms, and related operational needs
• Track project milestones, risks, issues, and dependencies
• Maintain communication with Site Operations leads regarding event load-in and load-out schedules and requirements
• Aid with event-day technology troubleshooting and operational support as needed (Biometric, QR code, and RFID devices)
• Aid with warehouse coordination and inventory management for all related technology assets
• Aid in vendor coordination and contract tracking

Qualifications

• Bachelor’s degree preferred in Project Management, Information Technology, Event Management, or related field (or equivalent experience)
• 1–2 years of experience in project coordination, event operations, technology support, or related roles preferred
• Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite and project management platforms such as Wrike is preferred
• Ability to work collaboratively with cross-functional teams and external vendors
• Strong attention to detail and problem-solving skills
• Self-motivated with a collaborative mindset and willingness to learn in a team-oriented environment
