IT Portfolio Coordinator - Associate
About the Role
The position involves developing, facilitating, and supporting UT Health San Antonio's project portfolio management processes and associated performance metrics. The role coordinates business case development, reporting, and documentation for the project portfolio and serves as the primary system administrator for the institution's project portfolio management system. Responsibilities include researching and identifying process improvements for portfolio management.
Responsibilities
- Coordinate with IT Partners and assist client requestors in submitting project requests to ensure sound business cases are developed and presented during the institution's project prioritization process.
- Serve as a liaison between business and technical resources to collect and compile information for project scorecards, sizing documents, expected outcomes, alignment with strategic objectives, deliverables, and budget requirements for ROI calculations.
- Perform portfolio stakeholder analysis, gather requirements, and work with IT Partners and resource managers to align individuals with the correct skillsets and expertise to project business cases.
- Ensure the quality and integrity of data within the project portfolio management system, leveraging workflow automation tools to identify and resolve data integrity issues.
- Develop and use reports to summarize and prepare business cases and presentation materials for Domain Council and executive leadership meetings, including producing Project Portfolio Dashboards using MS Power BI.
- Maintain the institution's project portfolio planning schedule, ensuring meetings are well-documented and communicated.
- Act as the primary application administrator for the project portfolio management system, eliciting requirements for new project submission forms and developing workflow automation rules.
- Coordinate with leadership and project managers to produce ad-hoc and recurring reports (e.g., resource allocation, business case details, project and portfolio metrics).
- Develop and maintain process and application training/documentation related to project portfolio management and prioritization, and deliver training on portfolio processes and supporting technology.
- Identify, streamline, and communicate opportunities for improving project portfolio management and prioritization processes to management.
- Perform all other duties as assigned.
Requirements
- Bachelor's degree in Information Systems, Computer Science, Business Administration, or a related field.
- One year of project support or portfolio management support experience.
- General knowledge of Project Management and Portfolio Management practices.
- Ability to follow established procedures and act as a team facilitator for projects or work groups.
- Technical background to quickly acquire workflow automation and integration development skills.
- Excellent analytical, organizational, and interpersonal skills.
- Proficiency in Microsoft Office Suite and MS Power BI.
- Strong verbal, written, and communication skills.
- Self-motivated, result-oriented, and capable of handling multiple tasks and priorities.
- Attention to detail and ability to maintain a professional demeanor in a fast-paced environment.
- Ability to develop and present training materials and facilitate meetings related to business case development and project prioritization.
Qualifications
- Project Management Institute (PMI) Certified Associate in Project Management (CAPM) certification preferred.
- This position may require maintaining the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.
