IP Docketing Specialist

About the role

This position processes incoming patent documents and communications received from USPTO, foreign associates, clients, and other entities to handle all aspects of specialized daily docketing. The role can be located in Kansas City, Seattle, Philadelphia, or DC.

Responsibilities

• Calendar dates, de-docket database dates, create and maintain country and client "actions."
• Create new trademark and other IP-related database records.
• Send reminders to attorneys, foreign associates, and clients.
• Prepare docket reports and assist on other IP docketing tasks as necessary.
• Conduct research and extract data to manage foreign patent prosecution.
• Generate docket reports to ensure no deadline is missed.
• Prepare client reporting letters and correspond with foreign counsel, attorneys, and clients to obtain and provide direction regarding upcoming U.S. and foreign deadlines.
• Create new domestic and foreign patent and trademark application files, including entry of case information and pertinent deadlines into firm and client databases.
• Provide frequent feedback to develop solutions for docketing issues and maintain and implement intellectual property department docketing processes, procedures, guidelines, and practices.
• Assist with transfer, conversion, and merge processes when transitioning client portfolios into the intellectual property docketing database.
• Assist with payment of annuities and confirm the accuracy of annuities payments.
• Work independently to recognize docketing anomalies and conduct appropriate research to resolve them.
• Stay abreast of industry best practices, intellectual property docketing system(s), and technical considerations to present options for enhancing the practice, increasing efficiencies, and meeting client needs.
• Assist with ad hoc projects as needed.
