IP Docketing Specialist

About the role

Efficiently process incoming files and communications from various patent offices and foreign associates, interpreting data accurately to ensure timely filing of documents and transactions handled by the Firm.

Responsibilities

• Properly sort and track source data, identifying and interpreting data to be entered into CMI.
• Docket U.S. and foreign correspondence by accurately identifying correspondence in CPI, docketing applicable action due dates, updating information in CPI as needed, properly routing correspondence, and verifying it.
• Process and docket emails from Docketing email boxes.
• Correspond with CPI and foreign agents to resolve data discrepancies, questions on country law, and similar issues.
• Process CMI requests, including opening CPI records for U.S. and foreign patents, trademarks, and general matters.
• Provide docket reports and process intake files as needed, keeping pace with workload.
• Perform additional tasks and functions as required.

Qualifications

• Proficiency in Microsoft Office Suite and related software, with the ability to effectively utilize databases and applications such as CPI, the Firm’s document management system, Outlook, and internet searching tools.
• Ability to learn and properly utilize software systems while following necessary processes.
• Ability to work in a fast-paced environment, maintaining strong attention to detail.
• Independently troubleshoot and professionally interact with others, demonstrating exceptional customer service skills.
• Exceptional oral and written communication skills, including offering and asking for help when needed.
• Ability to demonstrate good judgment, effectively prioritize tasks, and manage duties responsibly.
• Ability to perform efficiently, maintain high quality and quantity of work, and adapt to changes effectively.
• Consistently maintain good attendance, reliability, and ability to work overtime if needed.

Education & Experience

• Some college, related education, or training beyond a high school diploma.
• At least two years of related experience.
