This role is an hourly non-exempt position based in our Toledo, Ohio office, with potential for remote work depending on experience.

About the role

We’re looking for an IP Docketing Clerk to maintain and manage intellectual property deadlines and records, ensuring timely filings and compliance with U.S. patent and trademark regulations. This role supports IP attorneys and patent agents by reviewing incoming mail, inputting documents and deadlines into the docketing system, and calculating procedural deadlines.

Responsibilities

  • Maintain and update Anaqua PATTSY Wave IP docketing systems
  • Accurately enter, calculate, and track deadlines for patents, trademarks, copyrights, domain names, agreements, oppositions, litigation, and related filings based on applicable rules, statutes, and procedures
  • Coordinate with foreign agents and clients regarding filing deadlines, managing all inbound and outbound client transfers as needed
  • Monitor incoming USPTO correspondence and ensure deadlines are recorded promptly
  • Generate and distribute regular docket reports and IP listings for clients and attorneys
  • Utilize USPTO PAIR and TSDR, WIPO, E-Space, and foreign databases to perform routine status checks of patent and trademark applications
  • Run, analyze, and provide reports as requested by internal stakeholders
  • Daily processing of incoming patent correspondence, docketing, and reporting to clients
  • Coordinate with accounts payable to process incoming invoices
  • Oversee the administration of foreign and domestic annuities, including processing, reporting, and client support

Requirements

  • Minimum of high school diploma required; bachelor’s degree or higher preferred
  • 5+ years of experience working as an IP docketing clerk
  • Thorough understanding of USPTO processes
  • Proficiency in docketing software such as Anaqua PATTSY Wave
  • Strong understanding of patent, trademark, copyright, and related terminology
  • Advanced technical skills including Microsoft Word, Excel, and PowerPoint
  • Project and case management skills, with a strong aptitude for managing and prioritizing multiple projects and deadlines
  • Superior research, organizational, and verbal and written communication skills
  • High attention to detail

Physical Requirements

  • Sitting position, static for up to one-half hour at a time, up to six hours per day
  • Standing and walking regularly, up to two hours per day
  • Lifting and carrying up to 20 pounds occasionally
  • Bends and stoops occasionally, up to one-half hour per day
