International Documentation Coordinator (Bilingual-Spanish)

About the Role

Generate all international documents, maintain a daily database of export shipments, and ensure a detailed understanding of all international documentation requirements by country and customer-specific needs. Responsible for accurate preparation and review of documents, generating reports, troubleshooting issues, and providing customer service to merchandising and sales teams to correct documentation deficiencies. Communicate with outside U.S. government departments (USDA, FDA, Chamber of Commerce, etc.) to create and issue required documents. Assist export sales in resolving commodity, freight, accounting, financing, and other document-related issues.

Responsibilities

  • Generate all international documents based on country and/or customer-specific requirements.
  • Maintain a daily database of export shipments.
  • Communicate with outside U.S. government departments (USDA, FDA, Chamber of Commerce, etc.) to create and issue required documents.
  • Create insurance certificates for all applicable shipments.
  • Issue Sight Draft documentation to facilitate customer payment.
  • Provide assistance to export sales in resolving commodity, freight, accounting, financing, and other documentation issues.
  • Determine supporting documents needed for each sales folder.
  • Prioritize work based on urgency and shipment ETA.
  • Determine the appropriate company for legalization purposes (if required) and verify cost protection on the folder.
  • Determine if shipments require certificates of insurance and verify correct insurance cost protection on the folder.
  • Approve bill of lading changes up to $50.

Qualifications

  • Education: High School Diploma (HSD) or equivalent required; Associate’s Degree preferred.
  • Experience: 3 years of international documentation/logistics experience preferred.
  • Professional Skills:
    • Proficiency in Microsoft Word, Excel, and Outlook.
    • Ability to effectively communicate in English; fluency in Spanish preferred.
    • Strong organizational skills with the ability to multi-task, prioritize workflow, and meet deadlines.
    • Positive mindset and ability to work collaboratively in a team environment.
    • High level of responsibility, accuracy, and efficiency in completing tasks.
