Responsibilities
- Answer and direct all incoming calls according to all company policies with exceptional phone skills.
- Direct phone calls to the appropriate parties as necessary.
- Take written messages for occupied personnel and notify them as soon as possible about pending messages.
- Congnrols questions and issues with the appropriate department personnel.
- Address customers' concerns and issues or escalate them as needed.
- Help with clerical/office tasks, such as scheduling appointments, maintaining records, sending bills, answering phones, ordering supplies, etc.
- Scan all necessary documents into the scanner with strong attention to detail to ensure accuracy.
- Filing as assigned by management.
- Transport paperwork from one dealership to another.
- Greet customers in the showroom floor.
- Maintain confidentiality of company and customer information at all times.
- Answer service department telephone calls and direct the people to the best suited person to take the call and take message for person when not available.
- Aid Service Department submit paperwork to external companies for claims payments.
- Aid the Service Department to contact customers when their car is ready to be picked up.
- Perform other duties as assigned.
Qualifications
- No experience required but a PLUS!! Automotive Dealership experience a PLUS!! Service and hospitality industries experience a PLUS!
- Previous retail and customer service experience preferred.
- Must have a valid California driver's license with a clean driving record.
- Basic computer and Microsoft Office Skills.
- Strive to respect and facilitate teamwork with all departments.
- Professional appearance and work ethic.
- Excellent communication, customer service and problem-solving skills, and the ability to maintain composure under stress.
- Strong Organization skills, ability to multi-task, and can manage time to meet frequently changing deadlines in a fast-paced environment.
- Must be self-motivated with good written and verbal communication skills.
- Must conduct oneself in a professional manner and have strong attention to detail.
- Strive to respect and facilitate teamwork within all departments.
- Friendly with high energy and the willingness to go above and beyond.
- Must be a team player with a strong sense of commitment to the customer and team members.
- Bilingual is a plus!
