Intercompany Runner/Receptionist

Responsibilities

  • Answer and direct all incoming calls according to all company policies with exceptional phone skills.
  • Direct phone calls to the appropriate parties as necessary.
  • Take written messages for occupied personnel and notify them as soon as possible about pending messages.
  • Congnrols questions and issues with the appropriate department personnel.
  • Address customers' concerns and issues or escalate them as needed.
  • Help with clerical/office tasks, such as scheduling appointments, maintaining records, sending bills, answering phones, ordering supplies, etc.
  • Scan all necessary documents into the scanner with strong attention to detail to ensure accuracy.
  • Filing as assigned by management.
  • Transport paperwork from one dealership to another.
  • Greet customers in the showroom floor.
  • Maintain confidentiality of company and customer information at all times.
  • Answer service department telephone calls and direct the people to the best suited person to take the call and take message for person when not available.
  • Aid Service Department submit paperwork to external companies for claims payments.
  • Aid the Service Department to contact customers when their car is ready to be picked up.
  • Perform other duties as assigned.

Qualifications

  • No experience required but a PLUS!! Automotive Dealership experience a PLUS!! Service and hospitality industries experience a PLUS!
  • Previous retail and customer service experience preferred.
  • Must have a valid California driver's license with a clean driving record.
  • Basic computer and Microsoft Office Skills.
  • Strive to respect and facilitate teamwork with all departments.
  • Professional appearance and work ethic.
  • Excellent communication, customer service and problem-solving skills, and the ability to maintain composure under stress.
  • Strong Organization skills, ability to multi-task, and can manage time to meet frequently changing deadlines in a fast-paced environment.
  • Must be self-motivated with good written and verbal communication skills.
  • Must conduct oneself in a professional manner and have strong attention to detail.
  • Strive to respect and facilitate teamwork within all departments.
  • Friendly with high energy and the willingness to go above and beyond.
  • Must be a team player with a strong sense of commitment to the customer and team members.
  • Bilingual is a plus!
