Job Responsibilities

  • Cover communication and support services to technicians and office staff.
  • Schedule technicians and equipment according to customer requests, specifications, or needs.
  • Avoid scheduling inspections.
  • Coordinate subcontractors for inspections.
  • Communicate with customers about quarterly inspection schedules.
  • Address questions, problems, and requests for service or equipment.
  • Prepare and maintain accurate records and logs of all telephone calls and other records.
  • Act as national accounts coordinator for the Inspection department.
  • Enter, update, and retrieve information via multiple computer programs.
  • Assist in sending out inspection reports.
  • Assist in billing inspection jobs.
  • Assist in certificate of insurance processing.
  • Perform various duties including scheduling, invoicing, and collections on inspection projects.
  • Work professionally and courteously with Project Managers and Customers.
  • Assist Project Managers with setup, scheduling, invoicing, and collections of new jobs/projects.
  • Work with Customers and Inner Office Staff to keep projects moving forward.
  • Manage various types of records including job files.
  • Assist in completing special reporting and licensing requirements.
  • Complete special projects as required.
  • Accomplish responsibilities as required using business software as approved by WSFP.
  • Offer suggestions and solutions on improving efficiency of general office procedures.

Job Qualifications

  • Scheduling experience is required.
  • Two years’ experience in the fire protection industry is a plus.
  • Efficient computer skills with working knowledge of Microsoft products such as Outlook, Word, and Excel.
  • Possess excellent written and verbal communication skills.
  • Good customer service skills and a team attitude are essential.
  • Detail oriented, well-organized, proficient in multi-tasking, and possesses time management skills.
  • Puts forth a courteous, friendly, helpful attitude at all times when answering the phones and dealing with both other associates and customers.
  • Willing to pass a post-offer drug screen test and background check.
