About the role

The Investment Operations Technology Program Coordinator supports the day-to-day execution of technology delivery for Investment Operations & Fund Treasury. This is a hands-on, execution-focused role responsible for running recurring team and governance meetings, coordinating Agile Planning Increment (PI) logistics and artifacts, staying well-versed in JIRA to support reporting and data accuracy, and providing organized, reliable program support across delivery teams.

Responsibilities

  • Meeting & Governance Coordination
    • Run weekly delivery team meetings: facilitate the agenda, capture minutes and action items, track follow-through, and organize breakout discussions as needed.
    • Facilitate the monthly all-hands meeting: build and coordinate the agenda, own the meeting invite/calendar logistics, and run recurring segments such as Kudos and "Get to Know" team member spotlights.
    • Coordinate logistics for Planning Increment (PI) workshops, sessions, and retrospectives.
  • Agile & PI Planning Support
    • Support quarterly Planning Increment (PI) planning across delivery teams: coordinate scheduling, logistics, and cross-team facilitation.
    • Help produce and maintain PI planning artifacts (e.g., team objectives, roadmaps, dependency trackers).
    • Track action items and dependencies coming out of PI events and follow up until closed.
  • JIRA Reporting & Data Analysis
    • Stay well-versed in JIRA and help build dashboards and reports, check data for accuracy, and support delivery teams in following established processes and ticket hygiene standards.
    • Use reporting/visualization tools such as Big Picture to track dependencies, roadmaps, and cross-team delivery status.
    • Perform data analysis on JIRA and related delivery data to support leadership reporting and decision-making.
    • Support the creation of materials for the quarterly Steering Committee (Steer Co) with business clients, including status rollups, metrics, and presentation materials.
  • Project & Program Support
    • Maintain project trackers, status reports, and RAID logs under the direction of program/product leads.
    • Accountable for departmental service delivery process, metrics, and reporting.
    • Monitor progress against milestones and flag risks or delays to leads.
    • Maintain and organize project artifacts, including charters, roadmaps, and meeting archives.
  • Communication & Stakeholder Coordination
    • Serve as the point of contact for scheduling and logistics across cross-functional stakeholders and delivery teams.
    • Provide regular, organized updates to leads on meeting outcomes, action items, and PI progress.
    • Build strong working relationships with delivery team leads and business partners.
  • Support Staff Onboarding
    • Support onboarding and offboarding processes for staff transitions, maintaining continuity of portfolio management activities.
    • Coordinate transition plans to ensure knowledge transfer and minimize disruption to operations.
    • Partner with team leads to ensure smooth integration of new staff and effective offboarding of departing staff.

Requirements

  • 3-5 years of experience in a program/project coordination, scrum support, or similar operational role.
  • Experience within investment management, asset management, or another financial services environment.
  • Bachelor's degree or equivalent combination of education and experience.
  • Based in San Francisco preferred; if remote, willingness to travel to SF no more than once per quarter.
  • Comfortable working in a hybrid environment, balancing in-office and remote collaboration.
  • Self-starter who can work with moderate supervision and adapt to changing priorities.
  • Basic data analysis / reporting skills (Excel required).

Skills

  • Meeting facilitation and note-taking skills; comfortable running recurring meetings independently.
  • JIRA: comfortable navigating boards, pulling reports, checking data accuracy, and building light dashboards; familiarity with tools such as Big Picture a plus.
  • Comfortable working with data: pulling reports and doing basic analysis to support delivery and leadership reporting.
  • Working knowledge of Agile/Scrum and Planning Increment (PI) concepts.
  • Excellent organization, follow-through, and attention to detail.
  • Strong written and verbal communication skills, including experience preparing materials for senior/business audiences.
  • Comfortable coordinating across multiple teams and stakeholders simultaneously and working effectively in a hybrid environment.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); Confluence experience a plus.
