About the role
The Information Coordinator supports the daily operations of Network 6, focusing on data management, technology support, compliance monitoring, and collaboration with staff to ensure high-quality services for individuals with intellectual and developmental disabilities.
Responsibilities
- Answer telephone calls and provide messages in a timely and professional manner.
- Serve as the primary contact for daily report submissions and incident report routing.
- Respond to inquiries from families interested in Trinity Services programs and coordinate tours as needed.
- Aid in mail distribution, supply acquisition, and deliveries.
- Support employee and participant celebrations, events, and recognition activities.
- Provide backup clerical and administrative support across Network 6 locations.
- Aid in payroll and other administrative functions as needed.
Documentation, Reporting & Compliance
- Submit Community Day Services (CDS) attendance on a daily basis.
- Maintain tracking systems for medical appointments and communicate updates to staff.
- Monitor and collect documentation required for state compliance, including fire drills, tornado drills, water temperature logs, and monthly compliance reports.
- Prepare and maintain monthly reports related to attendance, billing, quality indicators, financial tracking, evaluations, and employee recognition programs.
- Analyze operational data to identify trends and opportunities for quality improvement.
- Aid in state billing processes through Career Access and support business-related billing activities.
- Prepare Square reports, invoices, and supporting documentation.
Technology & Systems Support
- Train employees on the use of electronic health records, documentation systems, and the Quantum System.
- Monitor staff utilization and compliance with electronic documentation requirements.
- Provide backup support for Program Coordinators within the Quantum System.
- Troubleshoot technology and system-related issues for staff.
Financial & Operational Support
- Collect receipts and prepare monthly expenditure reports for gas cards, credit cards, and PACE cards.
- Coordinate and track maintenance requests to ensure timely completion.
- Submit Amazon and supply orders for Network 6 locations.
Quality Assurance & Team Collaboration
- Partner with Program Coordinators to monitor outstanding documentation and compliance needs.
- Support employee onboarding, training, and recognition initiatives.
- Communicate professionally with employees, individuals served, families, community partners, and interdisciplinary professionals.
- Aid in implementing organizational policies, procedures, and regulatory requirements.
Skills & Abilities
- Strong computer and information technology skills.
- Advanced proficiency in Microsoft Excel and Microsoft Office applications.
- Ability to train and support staff in the use of technology and electronic systems.
- Strong organizational skills with the ability to multitask and prioritize responsibilities effectively.
- Excellent oral and written communication skills.
- Strong interpersonal and customer service skills.
- Ability to work collaboratively with staff, program participants, families, and outside agencies.
- Ability to interpret and explain policies, procedures, and regulations clearly and professionally.
- Self-motivated with strong attention to detail and accuracy.
Physical Demands
- Be able to lift over 40 pounds from floor to waist unassisted.
- Be able to push and pull 75 pounds.
- Be able to complete deep knee squats.
- Remain in a stationary position, often standing or sitting for prolonged periods.
- Physical activities that could be used include: driving, balancing, pulling, pushing, standing, climbing, grasping, stooping, crouching, crawling, kneeling, reaching, lifting, and repetitive motion.
Qualifications
- Bachelor’s Degree required in social work, psychology, or related field.
- Master’s degree preferred.
