About the role

The Production Supervisor is responsible for leading and overseeing all aspects of document processing operations, including Document Preparation, Scanning, and Quality Control functions. This position provides direct supervision, operational direction, and performance management for team members across all processing stages to ensure the accurate, secure, and timely conversion of physical records into quality digital assets. The role serves as the primary operational leader for the department, coordinating daily workflow, allocating resources, establishing production priorities, and ensuring compliance with organizational policies, customer requirements, service level agreements (SLAs), and quality standards. The Production Supervisor monitors team productivity, analyzes operational metrics, identifies process improvement opportunities, and implements corrective actions to enhance efficiency, quality, and customer satisfaction. Additionally, the role develops and maintains standard operating procedures, provides training and coaching to staff, conducts performance evaluations, and fosters a culture of accountability, teamwork, and continuous improvement. This position works closely with Senior Project Management to address escalations, resolve operational challenges, and ensure successful project execution.

Responsibilities

  • Supervise and coordinate daily operations within the Document Preparation, Scanning, and Quality Control teams.
  • Lead, coach, and develop team members to achieve departmental productivity, quality, and service objectives.
  • Monitor workflow, staffing levels, and workload distribution to ensure timely completion of projects and adherence to client SLAs.
  • Establish production priorities and adjust resources to meet changing business demands.
  • Conduct regular performance evaluations, provide constructive feedback, and implement performance improvement plans when necessary.
  • Ensure compliance with company policies, quality standards, security requirements, regulatory guidelines, and client specifications.
  • Review production metrics, quality reports, and operational data to identify trends, risks, and opportunities for improvement.
  • Implement process improvements and best practices that enhance efficiency, accuracy, and operational effectiveness.
  • Investigate and resolve workflow issues, customer concerns, quality exceptions, and production delays.
  • Partner with Project Management and other cross-functional teams to support project execution and client satisfaction.
  • Develop, maintain, and enforce standard operating procedures (SOPs) and work instructions.
  • Facilitate onboarding, training, and cross-training programs to ensure workforce competency and flexibility.
  • Conduct routine quality audits and oversee corrective actions to maintain document integrity and processing accuracy.
  • Prepare operational reports and communicate department performance, challenges, and recommendations to management.
  • Ensure a safe, organized, and productive work environment consistent with company standards.
  • Participate in workforce planning activities, including scheduling, hiring recommendations, and succession planning.

  • Knowledge of process improvement methodologies and continuous improvement principles.
  • Strong attention to detail and commitment to quality standards.
  • Ability to maintain confidentiality and safeguard sensitive information.

  • Ability to adapt to changing priorities and business requirements.
  • High School diploma or GED required; Associate degree preferred, or equivalent combination of education and experience may be considered.
  • Minimum of 3 years of experience in document processing, records management, production operations, or a related operational environment.
  • Minimum of 2 years of direct supervisory or team leadership experience.
  • Experience managing performance, productivity, and quality standards in a production-oriented setting.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods throughout the workday.
  • Frequent use of computers, monitors, and office equipment.
  • Ability to lift and move materials on an occasional basis.
  • Ability to reach, bend, stoop, and perform repetitive hand and finger movements.
  • Visual acuity sufficient to review documents, images, and quality control outputs.
  • Ability to work in a production environment with varying workflow demands and deadlines.
