The HVAC Warranty Claims Coordinator will manage end-to-end warranty claim activities, ensuring accuracy, compliance, and timely resolution across multiple vendor programs. This role requires strong organization, communication, and problem-solving skills to support customers and internal stakeholders effectively.

Accountabilities

  • Manage end-to-end warranty claim activities, ensuring accuracy, compliance, and timely resolution across multiple vendor programs.
  • Process customer credit memos and vendor-related debits accurately within internal systems.
  • Monitor daily and monthly claim submission goals to ensure operational targets are achieved.
  • Research, investigate, and resolve claim discrepancies, rejected submissions, and payment-related issues.
  • Maintain detailed tracking records for approved, denied, and pending warranty claims.
  • Communicate regularly with internal branch teams, customers, and vendors to provide updates and resolve concerns.
  • Aid with customer and branch support related to warranty part returns and claim documentation.
  • Reconcile vendor payments, customer credits, and outstanding discrepancies.
  • Participate in team meetings, audits, special projects, and process improvement initiatives.
  • Provide additional support during peak periods, including overtime when required.

Requirements

  • Strong administrative capabilities, attention to detail, and the ability to manage multiple warranty processes independently.
  • Experience working with customers, vendors, or operational workflows is highly valuable.
  • Strong computer skills, including proficiency with Microsoft Office applications.
  • Excellent written and verbal communication skills with the ability to interact professionally with customers, vendors, and internal teams.
  • Ability to manage multiple vendor requirements, procedures, and standard operating processes.
  • Strong organizational skills with attention to documentation and record accuracy.
  • Comfortable working independently while collaborating effectively within a remote team environment.
  • Proactive, flexible, and solution-oriented approach to handling operational challenges.
  • Ability to prioritize tasks and meet deadlines in a fast-paced setting.
