Responsibilities
- Coordinate daily HVAC administrative operations
- Answer incoming phone calls and assist customers professionally
- Schedule appointments and manage technician workflows
- Process invoices, estimates, purchase orders, and related documentation
- Maintain accurate records and reports
- Absorb commission tracking and payroll-related documentation
- Verify licensing and warranty information
- Communicate with technicians, subcontractors, vendors, and internal departments
- Resolve customer questions and service issues promptly
- Support managers with reporting and administrative projects
- Ensure data accuracy and maintain organized documentation
Requirements
- High school diploma or equivalent
- Previous administrative, coordinator, dispatch, or customer service experience preferred
- Strong organizational and multitasking skills
- Excellent verbal and written communication
- High attention to detail and accuracy
- Ability to prioritize work in a fast-paced environment
- Proficiency with Microsoft Office (Word & Excel)
- Experience with dispatch or service software is a plus
- HVAC, plumbing, electrical, or home services experience is preferred but not required
