About the role
The primary purpose of the Human Resources / Staffing Coordinator is to direct and coordinate human resources and staffing functions in accordance with current applicable federal, state, and local standards, guidelines, and regulations, and as directed by the Administrator. The position ensures qualified personnel are recruited, interviewed, trained, and employed, while coordinating staffing needs for the nursing department. The role works closely with nursing leadership and department managers to ensure appropriate staffing coverage, continuity of resident care, compliance with staffing requirements, and efficient day-to-day operations.
Responsibilities
- Assist in planning, developing, organizing, implementing, evaluating, and directing the HR department.
- Review all requests from department directors for new or replacement personnel, fill requests as approved, and arrange interviews and appointments.
- Check applications and references of prospective employees and arrange interviews with department directors as required.
- Maintain an adequate personnel record filing system that meets facility needs and complies with current employment practices.
- Ensure hiring and discharge procedures comply with established policies.
- Conduct employee background checks in accordance with facility procedures.
- Orient new personnel to the facility and explain personnel policies, payroll procedures, safety procedures, and grievance procedures.
- Counsel or discipline personnel as necessary.
- Conduct exit interviews and record data in employee personnel records.
- Maintain a good employee relations program that serves the best interests of the facility and community.
- Schedule all-staff in-service training for mandatory programs (OSHA, HIPAA, Compliance, etc.).
- Assist in developing department budgets related to personnel administration.
- Maintain confidentiality of all employee information and report unauthorized disclosures.
- Ensure newly hired employees receive a copy of the facility’s residents’ rights.
- Uphold residents’ rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights.
- Edit monthly schedules to account for time-off requests, new hires, and terminated employees, and post schedules for CNAs five days prior to the first day as outlined by the Collective Bargaining Agreement.
- Prepare and update Daily Assignment Sheets in the glass case prior to shift starts and update them as changes occur.
- Find coverage for shifts due to call-offs and ensure shifts stay over until replacements arrive in cases of tardiness.
- Mark call-offs and tardiness on attendance sheets and notify Human Resources when employees fall below attendance standards set in the Collective Bargaining Agreement.
- Serve as on-call for CNAs and notify the facility of staffing changes during shifts to keep everyone updated.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in Business Administration preferred, but not required.
- Minimum of 2 years of experience in HR Administration (required).
- Thorough knowledge of laws, regulations, and guidelines concerning personnel administration in nursing care facilities (required).
Physical Demands
- Must be able to move intermittently throughout the workday.
- Must be able to cope with the mental and emotional stress of the position.
- Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and carry such weight a minimum distance of 50 feet.
