Job Responsibilities
- Process multi-state payroll and support HR compliance, focusing on California and Texas wage and hour requirements, overtime, final pay, leave coordination, and related employee recordkeeping.
- Process bi-weekly payroll for IDL/DL employees, including wages, overtime, shift differentials, deductions, adjustments, and payroll corrections.
- Review and validate time and attendance records, including missed punches, PTO, leave hours, holiday pay, overtime, meal/rest period exceptions, and other payroll exceptions.
- Maintain payroll change logs and ensure approved changes are accurately reflected in ADP, time attendance, and other HR systems.
- Prepare and review payroll and HR reports, including personnel rosters, overtime, compensation data, headcount, payroll variance, and other key HR metrics.
- Enroll new employees into ADP and time attendance systems, ensuring employee profiles, pay rates, departments, supervisors, shifts, and employment statuses are accurate.
- Prepare and process Personnel Action Forms (PAFs) for new hires, transfers, salary adjustments, position changes, and other employee data updates.
- Update and maintain employee leave balances, PTO accruals, unpaid leave records, and other payroll-impacting information.
- Respond to employee and manager inquiries regarding payroll, timekeeping, compensation, benefits deductions, PTO, leave balances, and related company policies.
- Support benefits administration, leave tracking, onboarding, employment verification, and employee records maintenance as they relate to payroll accuracy.
- Aid in performance evaluation and compensation adjustment processes by preparing payroll, compensation, and employee data for management review.
- Assist with employee relations matters, investigations, disciplinary meetings, and terminations as needed, including final pay coordination and related documentation.
- Collaborate with internal teams and external partners on immigration, employment verification, payroll status, and work authorization matters as needed.
- Review and track compliance with required training, work assessments, and other HR records.
Education and Experience Requirements
- Bachelor’s Degree in Human Resources, Business Administration, Accounting, Finance, or related field.
- 2+ years of Human Resources, payroll, HRIS, or related administrative experience required.
- Hands-on payroll processing experience required.
- Familiarity with California payroll processing experience strongly preferred.
- Familiarity with California wage and hour requirements, meal/rest periods, overtime, final pay, leave tracking, and payroll recordkeeping preferred.
Required Skills/Abilities
- Excellent verbal and written communication skills.
- Bilingual in Chinese and English preferred.
- Strong interpersonal, conflict resolution, organizational, time management, and prioritization skills.
- Strong attention to detail with the ability to meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Ability to act with integrity, professionalism, and maintain confidentiality.
- Proficient with Microsoft Office Suite, especially Excel.
- Experience with ADP or similar payroll/time attendance systems preferred.
- Knowledge of payroll practices, wage and hour rules, overtime, PTO, leave tracking, and basic HR compliance preferred.
