About the role
This position involves performing administrative duties, maintaining Personnel Department records and files, and providing assistance to District employees and applicants.
Responsibilities
- Answer phones and direct phone calls to appropriate staff member; take messages.
- Greet visitors and direct them to proper location.
- Receive, sort and distribute daily mail/deliveries.
- Order front office supplies and keep inventory of stock.
- Update calendars and schedule meetings.
- Arrange travel and accommodations, and prepare vouchers.
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
- Report immediately the presence in the building of any visitor who bypasses the reception desk or any suspicious activity or unusual behavior on the part of visitor.
- Research and complete verifications of service as necessary.
- Process Personnel Action Forms for classified hourly employees.
- Ensure that all employees receive an annual evaluation pursuant to District policies.
- Interface with employees and the public regarding questions on personnel procedures.
- Maintain employee and applicant files.
- Maintain accuracy and confidentiality of current and archived personnel filing systems.
- Analyze applications and/or personnel forms to ensure that they are accurate and complete.
- Complete office purchases, process purchase requisitions and invoices for payments.
- Maintain a high level of confidentiality with personnel records and information.
- Adhere to all District policies and regulations.
Requirements
- High School Diploma or GED required.
- Three years secretarial/clerical experience required.
- Excellent customer service skills required.
- Professional image required.
- Strong verbal and interpersonal skills required.
- Preference: Inupiaq speaking and cultural experience preferred.
- Experience in a personnel or human resource office preferred.
- Valid Alaska Driver License preferred.
Qualifications
- Working knowledge of use of personal computer and standard word processing and spreadsheet software to prepare memoranda and reports suitable for general distribution (Excel, Word).
- Working knowledge of federal, state, and local personnel/human resource policies and procedures.
- Ability to read, explains, and applies complex rules, regulations and procedures.
- Ability to communicate effectively with others, orally and in writing.
- Ability to maintain effective working relationships with a variety of individuals.
- Ability to deal firmly and tactfully with employees and managers.
- Ability to write clearly and concisely.
- Ability to work effectively under pressure.
- Ability to develop procedures and methods.
- Ability to analyze situations accurately and take prompt, effective action.
- Ability to accurately figure contracts and related documents.
