About the Role
Provide secretarial assistance to the Human Resources department, including greeting visitors, answering incoming telephone calls, and managing a variety of administrative tasks.
Responsibilities
- Greet visitors, answer incoming telephone calls, provide appropriate information or take messages, and refer to appropriate staff.
- Plan, organize, maintain, and update a variety of files, communications, records, and databases.
- Prepare correspondence, reports, documents, and memos working from notes and direction; compose routine correspondence independently.
- Review, complete, and process verification of employment and subpoena requests.
- Prepare Board of Education meeting documents and reports.
- Prepare, maintain, and communicate job postings.
- Serve as the primary point of contact for substitute questions and paperwork processing.
- Review and process absence exceptions requiring HR administration approval (e.g., family-leave day and excused without pay).
- Complete fingerprint-based criminal background checks, process, and file the results.
- Manage and maintain the ID badge program, the annual ID badge rollover, and ongoing building ID badge needs.
- Support the student teacher onboarding process.
- Manage the district tutor list.
- Provide general secretarial assistance to departmental staff: copying, filing, distributing mail, faxing, data entry, verifications of employment, and labeling.
- Serve as back-up to the reception desk as needed.
- Use personal computer and general office equipment; demonstrate proficiency with District-provided technology and computer-based programs to manage files, communication, records, and databases.
- Perform other duties as assigned.
Working Conditions
Office setting.
Pay
$21.25–$23.30 per hour.
