At Sun Shuttle and Transit, our people keep the wheels turning, literally. We're looking for a detail-oriented HR Coordinator to help make sure every new hire feels supported from day one. This role is the backbone of our day-to-day HR operations, handling onboarding, employee files, and compliance tracking that keeps our drivers and staff safely and legally on the road. You'll work closely with the HR Manager to keep things organized and running smoothly across the team. RequirementsOnboarding & New Hires Coordinate the new hire process end-to-endPlan and lead new hire orientation for office staff and driversServe as the main point of contact for new employees during their first weeks Employee Files & Records Create, organize, and maintain accurate employee personnel files (digital and physical), ensuring confidentiality at all timesKeep employee records current, status changes, promotions, address/contact updates, and terminationsMaintain organized recordkeeping systems that make files easy to retrieve for audits or reviews Compliance Maintain Driver Qualification Files in accordance with FMCSA/DOT requirementsHelp track and schedule DOT physical exams, medical certifications, and flagging upcoming expirations before they lapseSupport the company's DOT drug & alcohol testing program, including random testing pool management and Clearinghouse queriesOrder and review Pull Notices (DMV) for all driversTrack completion of required safety and compliance training (defensive driving, safety refreshers, CPR/First Aid as applicable)Support OSHA recordkeeping and workplace safety/incident documentationAssist with unemployment claims and workers' compensation paperwork as needed General HR Support Assist with posting job openings, screening applications, and scheduling interviewsCoordinate background checks and pre-employment drug screensSupport benefits enrollment and respond to employee questions about policies and proceduresAssist with payroll support, including timesheet review, attendance tracking, and PTO record-keepingHelp maintain and update the employee handbook and HR policiesTrack performance review timelines and send reminders to managersSupport employee engagement and recognition effortsPerform other HR administrative duties as assigned QualificationsKnowledge of HR Policies and basic employment regulations, with the ability to help implement and communicate guidelines consistently.Strong organizational and time-management skills, with attention to detail and accuracy in record-keeping.Effective written and verbal communication skills, including professionalism in interacting with employees at all levels.Proficiency with office software and HR systems (e.g., Google Workspace, spreadsheets, HRIS)High school diploma or equivalent required; postsecondary coursework or degree in Human Resources, Business Administration, or related field is preferred.Ability to maintain confidentiality, exercise sound judgment, and work collaboratively in an on-site team setting.
