About the role
The Human Resources Coordinator reports to the Director of Talent Acquisition and Operations and supports the Talent Acquisition and Operations team by providing professional-level administrative and operational assistance in recruitment, onboarding, HR systems processing, employment record management, and employee record management. This role ensures the timely and accurate execution of HR processes in compliance with College policies and applicable employment regulations.
Responsibilities
- Operational and Customer Support
- Provides front desk support and serves as back-up coverage for the Human Resources reception area, including greeting visitors, answering phones, monitoring shared inboxes, and routing inquiries appropriately.
- Responds to employee, applicant, supervisor, and visitor inquiries regarding HR processes, procedures, and general employment information.
- Provides administrative and operational support to the Talent Acquisition and Operations team, HR Business Partners, and HR leadership as needed.
- Assists with HR projects, audits, compliance reporting, document collection, and process improvement initiatives.
- Maintains confidentiality of sensitive employee, applicant, and institutional information.
- Assists with coordinating temporary hiring processes by working with staffing agencies and hiring managers, tracking assignments, monitoring budgets and timelines, and maintaining related records.
- Maintains official employee personnel files and employment records, ensuring records are accurate, complete, confidential, and organized in accordance with College procedures, applicable regulations, and approved retention schedules.
- Talent Acquisition Support
- Supports recruitment initiatives with logistics, including posting positions, scheduling interviews, and communicating with candidates.
- Assists with applicant tracking system (ATS) administration and ensures accurate job posting and applicant data.
- Prepares offer letters, employment documentation, and onboarding materials.
- Conducts background check coordination and employment verifications.
- Onboarding & Employment Processing
- Facilitates new hire onboarding processes and orientation preparation.
- Processes employment transactions or EPAFS, including hires, transfers, promotions, pay changes or adjustments, and separations.
- Ensures timely completion of required employment documentation (e.g., I-9s, policy acknowledgments).
- Maintains accurate personnel records in compliance with federal and state regulations.
- HRIS & Data Administration
- Supports HRIS data entry and reporting functions.
- Assists in maintaining data integrity within HR systems.
- Generates standard reports related to recruitment and employment status.
- Troubleshoots routine HRIS and system-related inquiries.
Requirements
- High school diploma or equivalent required; Associate's degree preferred in Human Resources, Business Administration, or related field.
- Minimum of 2 years of experience in HR, administrative support, or related field.
- Computer literacy to include proficiency with MS Office (Word, Excel, PowerPoint), HRIS, electronic mail, and calendar programs—willingness to learn new software/computer applications.
- Analytical and detail-oriented, with the ability to think independently.
- Ability to manage multiple priorities in a deadline-driven environment.
- Must possess high integrity with the ability to process sensitive issues and maintain confidentiality.
- Must be a self-starter, yet a team player.
Pay
Compensation range: $22.44 - $27.04 per hour, determined by your experience, education, and qualifications.
Schedule
Monday through Friday, 8:00 a.m. - 4:30 p.m. (40 hours per week). Hybrid option available.
