Duties/Responsibilities
- Partner with department leaders to provide day-to-day support in employee relations, policy interpretation, organizational changes, and talent planning.
- Act as the primary contact for assigned departments on HR matters including employee engagement, performance coaching, corrective action, and dispute resolution.
- Oversee and support all aspects of the employee lifecycle including onboarding, benefits, FMLA, ADA, personal leaves, Workers' Compensation, promotions, transfers, and terminations.
- Participate in operational meetings, team stand-ups, and job shadowing activities to gain business context and develop proactive HR strategies.
- Lead or support workforce planning initiatives, including managing burndown charts for program hiring targets and collaborating with finance on headcount tracking.
- Manage and audit HR compliance processes including but not limited to OSHA, DOT MIS reporting, ACA, Safe Harbor, EEO-1, and 1095 filings.
- Serve as Designated Employer Representative (DER) for FAA-regulated drug and alcohol testing program (49 CFR Part 40).
- Schedule and track random drug screens, vision tests, and hearing tests as required by internal policy or regulatory compliance.
- Collaborate with payroll and finance to review payroll & bonus payouts.
- Prepare and reconcile benefits invoices with carriers through internal Excel-based processes.
- Oversee benefits premium collection processes for employees on unpaid leave, ensuring timely and accurate payments and coordination with payroll.
- Solicit uniform and branded merchandise quotes and manage order placement, inventory, and distribution.
- Support 401(k) Safe Harbor compliance, including annual contribution analysis and reporting.
- Serve immigration-related efforts including preparing TN visa packets and partnering with legal counsel to facilitate permanent residency cases.
- Oversee the administration and content updates of the HR intranet and coordinate internal communications such as newsletters and announcements.
- Plan and execute employee appreciation events and recognition programs, including retirement celebrations and ongoing employee engagement efforts.
- Develop tools, resources, and templates to support front-line leaders in areas such as performance management, recognition, communication, and onboarding.
- Conduct regular audits of HRIS records and onboarding documentation entered by HR team members to ensure compliance and data integrity.
- Support annual Open Enrollment planning and execution, working directly with the company’s broker and HR Director.

- Broad working knowledge of HR best practices, employment-related laws, and compliance requirements.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
