The HR Operations Admin at Rosendin is the operational backbone of the new hire and employee experience. You will coordinate and support the onboarding process, manage I-9 and E-Verify tasks, and serve as the first point of contact for new hires and employees.
Responsibilities
- New Hire & Onboarding Support:
- Coordinate and support the onboarding process, including pre-hire task monitoring, logistics planning, equipment coordination, and Day 1 preparation.
- Manage I-9 documentation, E-Verify submissions, and onboarding compliance tasks within required timelines; escalate exceptions appropriately.
- Schedule and track benefits orientation sessions and support new hires through initial benefits enrollment and questions.
- As the first point of contact, handle new hire questions and onboarding-related inquiries.
- Employee Data & Administrative Transactions:
- Process routine employee data updates in Workday, including personal information, contact, and address changes.
- Support basic Workday transactions and route more complex changes to the appropriate team member.
- Process employment verification requests, EDD forms, unemployment documentation, and compliance paperwork within required timelines.
- Benefits, Leave & Payroll Administrative Support:
- Provide first-line support for employee benefits questions and route complex inquiries to the HR Ops Specialist.
- Process standard benefits and leave administrative tasks, including HSA contributions, leave timecard entry, and benefits enrollment documentation.
- Support per diem processing, including form intake, tracker management, and approval coordination.
- HR Helpline & Ticket Support:
- Serve as first-line intake for the HR helpline, ServiceNow tickets, and the HR shared inbox.
- Resolve straightforward requests independently and route items requiring judgment or system access to the appropriate team member.
- Ensure all requests are acknowledged and routed within expected response windows.
- General Administrative Support:
- Support training assignment coordination and scheduling logistics.
- Aid in compliance documentation, records requests, and general HR administrative needs.
Requirements
- 1–2 years of experience in an HR, administrative, or coordinator role.
- Strong organizational skills and follow-through, managing competing tasks without letting things fall through the cracks.
- Comfortable working in a high-volume environment with a strong attention to detail and accuracy.
- Experience with Workday HCM or a similar HRIS, and ability to learn systems quickly.
- Proficiency in Microsoft Office (Outlook, Word, Excel) and SharePoint.
- Excellent written and verbal communication skills, professional and responsive at all levels.
- A high level of discretion when handling confidential employee information.
- Familiarity with I-9 and E-Verify compliance preferred.
- An associate's degree preferred; a combination of education and relevant experience is accepted.
