About the Role
The HR Assistant will provide day-to-day administrative and operational support to Colovore's People team, helping deliver a smooth and consistent experience throughout the employee lifecycle. This is a 12-month fixed-term, hourly position paying $20.00 - $25.00 per hour, ideally based in San Diego, Santa Clara, or Dallas for occasional team meetings.
Responsibilities
- HR Operations & Employee Support (60%):
- Support new hire onboarding: complete kickoff tasks, initiate background checks, update trackers, and coordinate internal activities.
- Assist with employee change and termination checklists, ensuring accurate and timely documentation.
- Monitor shared HR inboxes, organize requests, and route action items.
- Maintain organized employee files and ensure proper documentation storage.
- Update and review sheets, trackers, and organizational resources.
- Maintain the company organization chart with new hires, departures, and changes.
- Process Ramp transaction receipts and supporting documentation.
- Track completion of new hire and employee requirements, including trainings.
- Support People team programs, initiatives, and special projects.
- Recruiting Coordination (40%):
- Coordinate and schedule candidate interviews, ensuring a smooth experience.
- Maintain candidate information and interview activity in Greenhouse.
- Support job and candidate administration throughout the recruiting process.
- Review applications and identify candidates meeting basic qualifications.
- Partner with the People team to provide a positive candidate experience.
Qualifications
- Bachelor's degree or equivalent combination of education and relevant experience.
- 0–2 years of professional, internship, administrative, recruiting, or HR-related experience.
- Proficiency with Microsoft Office or Google Workspace.
- Strong attention to detail and organizational skills.
- Ability to work in a fast-paced, growing environment.
- Experience with HRIS or applicant tracking systems is a plus.
