Essential Duties and Responsibilities
This position is responsible for the following. Other duties may be assigned.
- First point of contact to greet visitors, applicants, answer telephones, provide information to visitor/caller when appropriate, direct to appropriate HR personnel and/or take messages when necessary.
- Coordinate department meetings and schedules; ensure smooth office operations.
- Examine employee files to answer inquiries related to personnel data and provide information for personnel actions, as well as locating and attaching appropriate files to incoming correspondence requiring replies.
- Assist with preparation of papers and presentations for the assigned Manager.
- Review and evaluate mail to identify those items requiring priority attention from the team.
- Assist with maintaining employee records in all databases.
- Support the onboarding process, including assisting new hire with pre-employment and post hire requirements and ensuring required documentation is completed and maintained.
- Completing tasks assigned to support the Human Resources functions.
- Independently respond to letters and general correspondence of a routine nature.
- Make copies of correspondence or other printed material as requested.
- Coordinate purchasing of office supplies, etc. with all department heads (distribute office supplies as needed).
Required Education & Experience
- Associate's degree in business administration and/or equivalent work experience.
- One (1) to three (3) or more years in HR or administrative support experience preferred.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint.
Working Conditions
- Must possess mobility to work in a standard office setting and use standard office equipment and be able to attend meetings at various sites within and away from office.
- Strength to lift and carry materials weighing up to 20 pounds.
- Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day.
- Hearing and communicating in person and over the telephone.
- Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions.
Necessary Equipment Operation
- Copiers, scanners, computers, shredders, postage machines.
Special Skills
- Bilingual preferred (English/Spanish).
- Excellent interpersonal and communication skills.
- High performance and a strong team player.
- Strong Organizational Skills (coordinating projects, setting priorities, meeting deadlines and following up on assignments).
