About the role
The Human Resource Assistant works closely with the facility Human Resource Director to enhance the employment experience for all staff. The primary responsibilities include assisting with recruitment, retention, and recognition of staff, managing the employment application and hiring process, providing information and support to staff, maintaining and securing all employment related records, and processing time records to submit to payroll for processing.
Responsibilities
- Participates in community events for the purpose of enhancing awareness of employment opportunities.
- Affords assistance in deploying employee mentorship programs.
- Affords assistance in deploying employee recognition programs.
- Affords assistance in deploying onboarding programs.
- Coordinates the employment application process, ensuring that all necessary steps are followed according to company policy and Affirmative Action requirements.
- Affords assistance in hiring decisions providing equal employment opportunity to all qualified applicants.
- Documents the entire application and hiring process in Applicant Tracking System.
- Provides employment related information to staff as needed.
- Assists in resolving workplace conflicts.
- Works as a liaison between staff and management, when necessary.
- Affords assistance in seeking EAP assistance, when needed.
- Affords assistance in payroll or benefit questions.
- Maintains a high level of understanding of company employment policies.
- Maintains consistent application of company employment policies and reports concerns to HR Director.
- Maintains confidentiality of all employee records.
- Safeguards records to prevent unauthorized access.
- Preserved records according to company retention policy.
- Ensures personnel files do not contain prohibited information.
- Maintains accurate attendance records.
- Ensures timely employee evaluation process.
- Performs audits of personnel files.
- Maintains and updates the HRIS system documentation ensuring timeliness and accuracy.
- Accurately enters new employees into Time and Attendance software.
- Ensures proper payment of benefit hours.
- Ensures that schedules and time records coincide.
- Runs daily reconciliation and approval reports to ensure accuracy of time records.
- Promptly reports any concerns to facility Administrator.
- Closes pay period and prints electronic time records in a timely manner.
- Responds to concerns and requests in a cheerful manner.
- Attends workshops/in-services pertinent to your department and designated by ADON.
- Attends meetings as directed to include departmental meetings, Quality Assurance meetings, etc.
- Attends all staff education of the Rehabilitation Center relating to safety, infection control and disease process.
- Participates in inspections and audits of department as needed to maintain safety and sanitary conditions as designated.
- Attends education programs on Continuous Quality Improvement, customer satisfaction and other such programs.
- Identifies areas of problem/needs through surveys and communicates these at QA&A committee meetings.
- Maintains and applies knowledge of current policies and procedures as outlined by Monarch Healthcare Management.
- Affords assistance in policy and procedure development as needed.
- Maintains current knowledge of Minnesota Department of Health regulations.
- Is knowledgeable of and abides by the importance of the ResiPromotes a highly positive workplace centered on strong customer service, inclusivity and ensuring staff feel welcome and supported.
Qualifications
- Must be a high school graduate.
- Human Resource education or experience is preferred.
- Must have excellent communication and organizational skills.
- Experience or education in conflict management is preferred.
- Must be able to perform essential functions of the position with or without reasonable accommodation.
- Must qualify for employment, after criminal background check, per guidelines of the Minnesota Department of Human Services.
