HRIS Coordinator - Dollywood Theme Park - Full Time Year Round

This is an hourly/non-exempt position in the Human Resources Department, performing a variety of routine to complex administrative, technical, and professional tasks related to the administration of Host records.
The HRIS Coordinator will manage various components in multiple HRIS systems in a fast-paced environment and live out "Lead with Love" qualities—being patient, kind, trusting, unselfish, truthful, forgiving, dedicated, and accountable.
Responsibilities
- Maintain government and company policy compliance with employee files for all Hosts at Dollywood properties.
- Serve as an expert in HR information systems, including:
- UKG Pro (Herschend Host Hub) for HR, recruiting, onboarding, and workforce management.
- UKG Workforce Dimensions timekeeping system.
- Appointment Plus.
- Workday.
- Proactively coordinate the complete life cycle of over 3,000 Host records from new hire to final separation, collaborating with department heads and administrative assistants. This includes:
- Building relationships and maintaining regular contact.
- Creating processes and training for events such as new hires, rehires, transfers, promotions, merit increases, clearances, and separations.
- Complete onboarding functions, including Form I-9, inspecting I-9 documents, E-Verify, and other required tasks.
- Activate new hire and rehire Hosts in the Herschend Host Hub, ensuring accurate record input.
- Activate and track Contract, J-1, and H2B Visa types.
- Assist with the rollout of a new HCMS, becoming familiar with the system and supporting teams as needed.
- Assist with direct deposit enrollments, cancellations, and paycheck questions when the Payroll Coordinator is unavailable.
- Track and follow up on missing Host documents.
- Support the Payroll Coordinator as needed.
- Input and file performance evaluation data.
- Process demographic and employment-related records for Hosts.
- Process all separations, ensuring timely removal from payroll and moving terminated Host folders to the term file room.
- Plan mass clearance events for large groups (e.g., college groups, water park closing, H2Bs, and end-of-season).
- Track Rehire Letter Acceptances/Declines and Hosts needing rehire letters.
- Assist Benefits with questions regarding Hosts’ status and break-in-service inquiries.
- Manage multiple weekly and bi-weekly reports, such as TN Separation Notices and exit surveys.
- Oversee and regularly update training materials related to the position.
- Maintain strict confidentiality regarding privileged information.
- Perform routine office functions and keep the work area clean and safe.
- Assist with employment functions at the Front Desk as needed.
- Support all HR-sponsored Host events, including evenings and weekends.
Requirements
- High school diploma or equivalent with at least two years of office or administrative experience in a high-volume setting.
- Proficient typing speed of 40 WPM with the ability to compose and structure reports.
- Proven proficiency in computer software, including Microsoft Office (Excel, Word, Outlook), ad hoc reporting, and cloud-based software.
- Experience with UKG Pro, Workday, or other HRIS software preferred.
- Ability to safely operate company vehicles per company policy; valid driver’s license, proof of auto liability insurance, and acceptable motor vehicle driving record required.

Physical Requirements & Environmental Conditions
- Lifting and Carrying: Occasional to frequent lifting of up to 25 lbs utilizing company’s safety guidelines for safe lifting.
- Mobility: Intermittent to prolonged sitting, standing, and/or walking for the duration of the shift, up to 13 hours.
- Repetitive Movements: Performing repetitive movements and tasks throughout the shift, including repeated use of hands, arms, or other body parts.
- Environmental Conditions: Ability to perform work tasks in varying weather conditions, including extreme cold and heat.
