Job Summary
Provides administrative support for the HR department and the administrative center. Conducts orientation tours and/or presents information to new hires. Handles multiple tasks simultaneously. Supports the Village's mission, values, and service/hospitality (P.R.I.D.E.) expectations.
Essential Job Functions
- Captures employment file of new hires and tracks conditional status.
- Aids in new hire paperwork.
- Supports HR reporting and other functions including filing, researching, querying, and compiling information.
- Enters new hire data into the database.
- Photographs and creates associate ID badges for new hires and replacements.
- Maintains active and separated associate files, including I-9 filing.
- Conducts orientation tours.
- Coordinates orientation catering arrangements and tour transportation.
- Sets up and/or adjusts direct deposits/Global Cash Card.
- May assist with onboarding tasks.
- Answers incoming calls and provides information/assistance via phone or in person to associates, visitors, clients/vendors, residents, and their families.
- Resets system passwords and assists with RELIAS Learning issues to determine exact nature of technical problem and implements remedial procedure.
- Coordinates RELIAS Learning (Logistics: training setup/scheduling/enrollments/reports/record maintenance).
- Distributes and tracks reminder emails to associates and leaders related to health, wellness, and performance management.
- May assist associates with use of MyJKV, as needed.
- Provides administrative support to the Human Resources department as needed.
- Creates and distributes correspondence to associates.
- Adheres to all safety regulations and requirements.
- Handles stress well and gets along with others within the workplace and with customers outside the department.
- Maintains acceptable standards of workplace conduct.
Essential Qualifications
- Education: High school education or general education degree (GED) required. Associates degree in business related coursework is preferred.
- Licenses/Certifications: Current driver’s license Required.
- Knowledge and Skills: One to two (1-2) years administrative support experience in a Human Resources environment required. UKG system experience preferred. Intermediate, working knowledge of MS Windows and MS Office – Word, Excel, and Outlook. Ability to write sentences, paragraphs, and correspondence proficiently. Ability to apply common sense understanding to carry out detailed but straight-forward written or oral instructions. Excellent communication, active listening, problem-solving and interpersonal skills. Ability to act with integrity, professionalism, confidentiality, and empathy.
SPECIAL WORKING CONDITIONS
- All associates may be called upon to assist other departments in a declared emergency situation.
Physical and Mental Demands
- Exerting up to 10 lbs of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
- Sitting most of the time. Additionally, walking, standing, stooping, kneeling, crouching, and/or squatting with occasional flexibility in changing positions are required.
- Close visual acuity to perform activities such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
- Communicate effectively through spoken and written word.
- Frequent sitting.
- Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
- Must be able to speak and hear.
Supervision Received/Given
- Receives direction from Manager of Training & Development.
- Gives no supervision.
