HR FMLA/Leave Specialist

About the role
The Specialist I, Human Resources (HR) FMLA/Leave will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Colorado Paid Family Medical Leave Act (FAMLI), the Americans with Disabilities Act (ADA), and any State/local leave laws, and short-term or long-term disability plans.
Responsibilities
- Administer FMLA/CO-FAMLI leave programs from the employees’ initial notice of the need for leave to their return-to-work, including gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, applying eligible time off accruals, and accounting for intermittent and reduced schedule leave use.
- Administer the interactive, reasonable accommodation process and program under the ADA, including gathering and completing all required paperwork, determining accommodation eligibility, requesting clarification from the employee/doctor, and issuing letters of denial/approval.
- Communicate with employees regarding their needs for leave, accommodation, temporary modified work schedules, and/or modified duties and responsibilities. Ensure employees are aware of their responsibilities and any required documentation or notice.
- Maintain communication with employees on leave to facilitate smooth and timely return-to-work; communicate throughout the accommodation process; and relay communication between employees and their managers as needed.
- Advise managers and employees on accommodation laws and the interaction of leave laws with paid time off, short-term and long-term disability benefits, and Workers’ Compensation (in collaboration with the Risk department).
- Oversee the return-to-work process for employees returning from extended FMLA or other leaves.
- Facilitate other leave requests, including extensions granted through the ADA accommodation process.
- Administer other time-off programs as assigned in accordance with internal policy and applicable laws.
- Draft and/or recommend revisions to company leave policies to ensure compliance with Federal, State, and local laws and regulations.
- Maintain complete and accurate records of leave and accommodation requests in accordance with legal requirements and best practices.
- Preserve confidentiality of employee medical documentation and files.
- Maintain knowledge of all applicable leave and accommodation laws, including FMLA, ADA, and State and local laws.
- Advise the Benefits Manager of significant events or situations that could negatively or positively affect the company.
- Assist with distribution of faxes from the HR fax line as needed.
- Perform other duties as assigned.
Requirements
- Minimum two (2) years of human resources and leave administration experience.
- Extensive knowledge of leave requirements and legal protections under FMLA, FAMLI, ADA, and other applicable laws.
- Strong skills with Microsoft Teams, Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills, as well as analytical and problem-solving abilities.
- High level of attention to detail and organizational skills.
- Demonstrated success in valuing people through active listening, expectation setting, and consistent follow-up.
- Ability to drive for company business, including use of company or personal vehicles for mileage reimbursement. Must meet auto insurance carrier requirements:
- At least 19 years of age (21 for CDL, 25–70 for passenger transportation).
- Valid Colorado State driver’s license.
- Must undergo and pass a Motor Vehicle Record (MVR) check and background check.
- Must disclose all moving traffic violations or vehicle crashes within the last five years (not all violations disqualify employment).
- Must adhere to all Federal, State, and local laws governing vehicle operation.
- Personal vehicles used for company business must be roadworthy and insured.
Qualifications
- Bachelor’s degree in Human Resources or related field preferred; equivalent combination of education, training, and experience may be considered.
- Completion of specialized certification or training on FMLA/leave/ADA administration is a plus.
