Role Summary
The HR & Employee Experience Coordinator plays a vital role in shaping the employee experience at Farmers State Bank. This position combines Human Resources administration with employee support, process improvement, and organizational excellence to ensure our people, systems, and documentation remain organized, efficient, and aligned with our award-winning culture.
Key Responsibilities
- Maintain accurate digital and physical employee records, including employment documents, policy acknowledgments, benefits records, leave documentation, and onboarding files.
- Update employee information within internal Human Resources systems, including job changes, benefits, and other personnel data.
- Safeguard the confidentiality of employee information, documentation, and Human Resources records.
- Prepare Human Resources reports and documentation related to compliance, employee records, and other administrative activities.
- Cook up employee benefits administration, including enrollments, qualifying life events, documentation, and routine employee inquiries.
- Serve as a resource for employees by answering questions related to Human Resources policies, benefits, leave, and internal processes or directing them to the appropriate contact.
- Aid in payroll coordination by preparing employee information, tracking paid time off updates, and verifying required administrative documentation.
- Guide employees through benefits enrollment, qualifying life events, and routine Human Resources questions while providing exceptional service and support.
- Serve as a trusted Human Resources resource by helping employees navigate policies, benefits, leave, and internal processes.
- Cook up onboarding and offboarding activities, including document collection, orientation scheduling, systems setup coordination, and checklist tracking.
- Manage the administrative aspects of recruitment by scheduling interviews, organizing candidate records, coordinating background checks, and maintaining hiring documentation.
- Ensure Human Resources documentation supports compliance with federal and state employment laws by tracking required records, retention schedules, and audit documentation.
- Continuously evaluate Human Resources processes and recommend improvements that increase efficiency, organization, and the overall employee experience.
- Explore and leverage technology—including AI-powered tools and automation—to simplify administrative work, improve accuracy, and streamline Human Resources operations.
- Develop organized systems, templates, and workflows that create consistency and support long-term operational excellence.
- Contribute to additional Human Resources projects and initiatives as assigned.
Qualifications & Skills
- Prior experience in human resources, office administration, banking, compliance, benefits administration, or a related administrative role is preferred.
- An associate’s or bachelor’s degree in human resources, business administration, or a related field is preferred, but equivalent experience may also be considered.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional attention to detail and a commitment to accuracy.
- Ability to build positive relationships while providing professional, responsive support to employees.
- Experience maintaining confidential records and handling sensitive information with professionalism and discretion.
- Comfort learning new technology and leveraging digital tools—including AI—to improve efficiency and administrative processes.
- A continuous improvement mindset with the curiosity to question existing processes and identify better ways of working.
- An interest in Human Resources administration, employment documentation, benefits administration, compliance, and employee experience.
