HR Data Management Specialist
Summary Description
The HR Data Management Specialist supports core HR processes and maintains accurate employee data within Toppan’s HRIS systems (Workday HR, UKG Time & Attendance, and ADP Payroll).
What You'll Be Doing
- High-Volume Data Entry & Employee Transactions:
- Entering new hires in Workday and ADP Lyric
- Processing or verifying employee lifecycle changes in Workday: Promotions, transfers, terminations
- Leaves of absence (LOA) and returns (RFL) and verifying data correctness
- Managing compensation updates and verifying union assignments
- Validating new hire personal information
- Benefits Administration & Vendor Auditing:
- Ongoing auditing of benefits across ADP and multiple vendors (Empower, Aptia, Optum, Manulife)
- Extracting and validating employee elections via Benefits Data Management
- Processing benefit changes directly in ADP
- Reviewing daily benefits files and resolving: Invalid or “needs attention” transactions, overlapping coverage dates, payroll sync failures
- Managing ongoing data cleanup
- Data Reconciliation & Reporting:
- Pulling and analyzing census reports to reconcile Workday vs ADP data
- Tracking and auditing all data changes within ADP
- Investigating discrepancies across systems and ensuring alignment
- Addressing issues where transactions complete but do not reflect in employee records
- File Monitoring & Error Resolution:
- Daily review of HR inbound interface files
- Identifying and resolving errors
- Ticket Review & Toppan Benefits Inbox:
- Toppan Benefits inbox
- Researching employee issues
- Assistance with OE and Merit, if needed
- Project Work: As assigned
Qualifications
- If preferred, a Bachelor's degree in Human Resources, Business Administration, or a related field.
- 2-4 years of experience in HR or employee services roles.
- Excellent verbal and written communication skills, with the ability to interact effectively with employees at all levels.
- Strong problem-solving skills and the ability to handle sensitive and confidential information with discretion.
- Highly organized with the ability to manage multiple tasks and priorities simultaneously.
- Proficiency in HRIS systems, Microsoft Office Suite, and other relevant software.
- Strong interpersonal skills and a customer-service-oriented mindset.
- Keen attention to detail and accuracy in all tasks.
