About the Role
The Human Resources Assistant provides administrative and operational support across a broad range of Human Resources functions, helping ensure HR processes are executed accurately, efficiently, and in compliance with company policies. This role delivers exceptional customer service to employees, leaders, candidates, and external partners while supporting onboarding, recruiting, employee records, compliance, HR projects, and employee engagement initiatives. Success in this position requires strong organization, attention to detail, confidentiality, adaptability, and the ability to effectively manage multiple priorities in a fast-paced environment.
Responsibilities
- Support the day-to-day administration of Human Resources functions and contribute to HR practices that promote an employee-focused culture.
- Provide administrative and operational support across multiple HR functions, including onboarding, recruiting, benefits coordination, employee communications, compliance, reporting, and record management.
- Deliver responsive, professional customer service by answering routine questions, directing inquiries, and coordinating administrative activities.
- Exercise discretion and confidentiality when handling sensitive information and managing relationships with internal and external partners.
- Support employee engagement, company events, and community involvement initiatives by coordinating communications, organizing activities, and liaising with internal teams and external partners.
- Audit the I-9 process and distribute incoming departmental mail.
- Respond to HR email and Teams inquiries, and manage incoming calls and voicemails.
- Complete weekly onboarding for new employees and submit requisitions for HR supplies and event-related needs.
- Prepare and submit monthly reports to state agencies and HR executives.
- Assist with Workday tasks and review HR information system upgrades or patches.
- Support the Senior Benefits Specialist with employee benefits-related questions.
- Provide recruiting assistance, including placing phone screening calls to applicants.
- Facilitate fundraising projects by acting as an organizational liaison, soliciting participation, and providing status reports.
- Develop employee communications and coordinate LegalShield’s involvement with external contacts.
- Coordinate quarterly blood drives with the Oklahoma Blood Institute.
- Provide the employee anniversary list to the Director of Communications.
- Document and facilitate OMG Committee meetings.
- Manage company events such as the Corporate Picnic, Jamboree, and PPLSI Family Tree.
Requirements
- High School Degree required; prior experience in an office or clerical setting is required.
- Three years of prior experience in an administrative position is preferred.
- Experience as an HR Assistant is preferred but not required.
- Ability to thrive in a fast-paced environment with changing priorities and attention to detail.
- Excellent verbal and written communication skills, along with strong interpersonal and customer service skills.
- Proficiency in Microsoft Office Suite or related software.
- Strong organizational skills and attention to detail.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong time management skills with the ability to manage multiple priorities and meet deadlines.
- Ability to work independently and collaborate effectively as part of a team.
- Experience using Human Resources Information Systems (HRIS), such as Workday, is preferred.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to regularly lift, carry, and move up to 15 pounds and occasionally up to 30 pounds.
- Ability to frequently walk between departments and floors.
- Frequent use of a computer, keyboard, telephone, and other standard office equipment.
- Ability to communicate effectively in person, by telephone, email, and virtual communication platforms.
- Ability to maintain concentration and attention to detail while performing repetitive administrative tasks.
- Ability to work in a fast-paced office environment with frequent interruptions and changing priorities.
- Occasional bending, stooping, reaching, and retrieving files, office supplies, or event materials.
- Ability to attend and assist with company meetings, employee events, and community activities, which may require setup, breakdown, or transporting materials.
Location: Ada. Full-time, non-exempt position; overtime may be required.
