Job Summary

Meneses Law is an Immigration law firm with an immediate opening for a Human Resources Assistant to join our dynamic law firm to assist our HR Department. This role is responsible for providing comprehensive administrative support by maintaining accurate and confidential employee records, ensure compliance through processes and procedures, employee and firm engagement and a variety of general HR and clerical responsibilities. Demonstrate excellent attention to detail, organized, ethical, understanding of KPI's and focus driven.

Essential Functions/Responsibilities

  • Manage and maintain up-to-date and accurate employee files, human resource records, and documentation within different platforms to include ADP Workforce Now, OneDrive, SharePoint and any other systems in place.
  • Performs periodic HR audits of files and records to ensure all required documentation is collected, labeled, and filed appropriately to ensure compliance requirements are met.
  • Assists with employee engagement to include planning and execution of special events such as organization-wide meetings, employee recognition events, holiday parties, etc.
  • Schedules appointments and arranges meetings. Prepares schedule and informs managers and participants, confirming requirements, dates, and times.
  • Maintain correspondence with candidates during the recruiting phase.
  • Provides clerical support to the HR Department.
  • Follow firm guidelines, policies, and procedures while maintaining the strictest level of client confidentiality.
  • Familiarity with common office processes, including filing, scanning, e-filing, and handling mail.
  • Organization and ability to multitask for filing and completing several clerical and administrative tasks at once.
  • Attention to detail to ensure all tasks are completed to a high standard.
  • Entering data and proper information into company software.
  • Addressing the queries of employees in a timely manner.
  • Enters, tracks, monitors, and reconciles data in computer database systems, according to established policies and procedures.
  • Perform any other tasks or functions deemed necessary to the daily operations of the employer.

Required Skills/Abilities

  • Proficient with Microsoft Office Suite, MAC systems, ADP Workforce Now, Canva and other relevant data tools.
  • Excellent time management and organizational skills to include, attention to detail, ability to multi-task and prioritize tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Self-motivated with excellent interpersonal skills.
  • Ability to collaborate with cross-functional teams and communicate findings effectively.
  • English usage, spelling, grammar, and punctuation
  • Proper phone etiquette
  • Friendly and strong commitment to customer service.
  • Good understanding of clerical operations (filing, data entry, and organizing).
  • Principles and procedures for record keeping.
  • Able to type 45 WPM or more.

Education and Experience

  • Bachelor's degree in human resources, business administration or another related field.
  • 2+ years of human resources and/or administrative experience.
  • Excellent verbal and written communication skills.
  • Handles multiple matters simultaneously.
  • Proficient with technology and the ability to learn about our software systems.
  • Strong analytical and problem-solving skills and ability to prioritize tasks.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Self-motivated with excellent interpersonal skills.

Physical Demands

  • This position involves regular walking, standing sitting for extended periods of time, hearing, and talking.
  • Occasionally involve stooping, kneeling, or crouching
  • May involve close vision, color vision, depth perception, focus adjustment and viewing computer monitor for extended periods of time.
  • Involves manual dexterity for using keyboard, mouse, and other office equipment.
  • The ability to move and lift items up to 10 pounds.
