About the role
The HR Assistant will directly report to the HR Manager and is responsible for supporting the I9 process for MGB Residents, MGPO Physicians and Fellows, BWH Fellows and Researchers, and BWPO Physicians. This position is primarily remote but may occasionally require on-site work to meet in person with hires.
Responsibilities
- Manage I9 scheduling through bookings link
- Collect I9 documents via email
- Meet with new hires to verify I9 documents virtually (in person if needed)
- Follow up with new hires that need to reschedule or schedule appointments
- Complete Section 2 of I-9 form and upload documentation
- Process E-verify
- Work closely with HR Reps on non-confirmation cases
- Track all new hires and I9 status
- Ensure timely completion according to I9 deadline timeframe
- Provide Beeline extended worker support
- Assist with other HR onboarding support and projects as assigned
Qualifications
- 1-3 years of related experience in a business or customer service setting, preferably in a Human Resources department
- Ability to effectively communicate with physicians, managers, and employees
- Strong verbal and written communication skills
- Willingness to work as a team player in a very busy environment
- Excellent attention to detail
- Ability to prioritize and organize workload efficiently
- Ability to handle multiple tasks simultaneously
- High level of integrity and trustworthiness—will handle confidential information
Schedule
- Per Diem, remote position
- Monday–Friday, Eastern business hours required
- On remote workdays, employees must use a stable, secure, and compliant workstation in a quiet environment
- Teams video is required and must be accessed using MGB-provided equipment
Pay
$17.71 - $25.28/hourly (Grade 2). Base pay is determined by skills, relevant experience, education, certifications, and other essential factors.
