Hospital Staff Scheduling Coordinator

About the Role

Baylor Scott & White Medical Center - Sunnyvale is seeking an Admin Support Assistant to assist in determining department staffing needs, scheduling personnel for all shifts, and adjusting staffing based on daily patient care needs. The role acts as a liaison between departments and staff, ensuring smooth communication and operational efficiency.

Responsibilities

• Utilize pre-established guidelines and work with nursing department directors to staff nursing units on a shift-by-shift basis.
• Calculate weekly patient/nurse ratios and report any over-staffing to Nurse Managers.
• Double-check six-week schedules against the working seven-day schedule for each nursing unit.
• Receive and report staff absences to the Nursing Department Director and replace staff as necessary.
• Report illnesses to the Infection Control Practitioner.
• Keep at least one month of weekly schedules updated at all times.
• Work with Unit Directors to manage Agency Staffing needs and update requirements on the staffing software website.
• Request Agency nurses through the WFX system and prepare Agency invoices under the direction of the House Supervisor.
• Prepare reports to monitor staffing utilization.
• Coordinate start dates and orientation of new Agency Nurses, maintaining complete Agency RN files.
• Perform Legiant functions for assigned departments.

Qualifications

• High school graduate or equivalent.
• Ability to read and communicate effectively in English; additional languages preferred.
• Intermediate computer knowledge.
• Knowledge of medical terminology.
