Key Responsibilities
- Answer and direct phone calls in a courteous, professional, and compassionate manner.
- Greet visitors, patients' family members, and vendors while maintaining a welcoming office environment.
- Perform general clerical tasks such as filing, scanning, copying, faxing, and data entry.
- Maintain office records and documentation accurately and confidentially in accordance with company policies and healthcare privacy requirements.
- Aid with scheduling meetings, staff appointments, and office activities as needed.
- Manage incoming and outgoing mail, deliveries, and office correspondence.
- Order and maintain office supplies and notify management of inventory needs.
- Support hospice staff with administrative tasks, reports, and document preparation.
- Maintain organized patient and administrative files in both paper and electronic systems.
- Assist with onboarding paperwork, timesheets, and other routine personnel or office documentation as assigned.
- Help ensure compliance with office procedures, confidentiality standards, and applicable regulations.
- Perform other administrative duties as assigned to support office operations.
Qualifications
- A high school diploma or equivalent is required.
- Previous office, receptionist, or administrative support experience is preferred.
- Experience in a healthcare, hospice, home health, or medical office setting is preferred.
- Proficiency in Microsoft Office including Word, Excel, Outlook, and basic office equipment is required.
- Strong organizational, communication, and multitasking skills are essential.
- The ability to maintain confidentiality and handle sensitive information professionally is critical.
- A friendly, dependable demeanor and effective communication with diverse staff and families is important.
- A basic knowledge of medical terminology is a plus.
