Position Overview
We are seeking an experienced, credentialed HOA / CID Portfolio Manager to oversee a dedicated portfolio of approximately 7 to 8 smaller, high-end properties. This is a traditional, in-office position operating out of our San Diego office (located in the 92126 area, right off the 15 at Mira Mar Road).
Key Responsibilities
- Act as the primary liaison and trusted advisor to HOA Boards of Directors.
- Prepare for, attend, and facilitate regular board meetings, ensuring accurate documentation and execution of board decisions.
- Oversee the day-to-day operations of 7 to 8 smaller community portfolios, ensuring common areas, amenities, and community standards are maintained to the highest level.
- Collaborate with our robust in-house financial department to review monthly financial statements, assist boards with annual budget preparation, oversee reserve studies, and manage capital improvement projects.
- Regularly inspect properties to ensure compliance with community governing documents, bylaws, and California civil code (Davis-Stirling Act).
- Handle violations and architectural requests with professionalism and diplomacy.
- Sources, negotiates, and oversees third-party contractors and vendors for community maintenance, landscaping, and major restoration projects.
Qualifications & Requirements
- Minimum of 10+ years of dedicated, on-site or portfolio HOA/CID management experience.
- Must possess an active industry certification (e.g., CCAM or CMCA preferred).
- Deep operational knowledge of the Davis-Stirling Act, CC&R enforcement, and HOA budgetary/reserve requirements.
- Proficiency with industry-specific software; experience with Caliber Software is a major plus.
- Ability to attend regular evening board meetings and participate in a shared, after-hours emergency on-call rotation (approximately once every 5 to 6 weeks).
- Exceptional verbal and written communication skills with the ability to manage complex board dynamics and demanding client expectations.
