About the role

This position is a full-time, calendar year classified staff role supporting administrative functions within an academic department. The role is contingent on funding and is limited to June 26, 2027.

Responsibilities

  • Provide routine administrative support in an academic department using enterprise software systems and common business applications.
  • Generate statistical statements, reports, legal documents, letters, and other materials using office software, enterprise systems, or paper copy.
  • Create and manipulate queries in the college’s enterprise software system for items such as class rosters, academic transcripts, faculty load reports, and more.
  • Make classroom reservations using the college’s event management system.
  • Convey pertinent information to faculty, staff, students, and visitors regarding college policies and procedures.
  • Process student add/drop course requests.
  • Coordinate office schedules for work-study students within the department.
  • Enter hours worked for biweekly work-study student payroll.
  • Maintain electronic and/or paper records for the department.
  • Answer in-person, telephone, or email inquiries and respond appropriately.
  • Provide students with information on course offerings, academic programs, and policies and services.
  • Schedule faculty advising appointments and other departmental events.
  • Maintain and requisition department supplies using the college’s enterprise software system in compliance with purchasing protocols.
  • Perform routine maintenance of office machinery and equipment.

Requirements

  • Ability to integrate information across different software applications.
  • Ability to generate accurate and concise written reports.
  • Working knowledge of general office practices, business arithmetic, and business English.
  • Familiarity with spreadsheets, databases, word processing, and other computer software.
  • Ability to establish and maintain effective working relationships with colleagues, departments, and external agencies.
  • Ability to understand and carry out complex oral and written instructions.
  • Working knowledge of higher education policies and procedures.

Qualifications

  • Graduation from a senior high school supplemented with training in computer information systems.
  • OR experience performing general office tasks of a complex nature in an academic setting, including the use of enterprise software systems, word processing, spreadsheets, and other contemporary office software.
  • OR any combination of education and experience substantially equivalent to the above.

Pay

$25.22 – $27.25 per hour; salary range $45,887 – $49,588 annually.

Schedule

  • Monday: 9:00 AM – 3:00 PM
  • Tuesday: 9:00 AM – 3:00 PM
  • Wednesday: 9:00 AM – 2:00 PM
