About the Role
Under close supervision, performs administrative, office and/or clerical work of moderate difficulty. This position has department-specific responsibilities.
Responsibilities
- Receives, sorts, indexes, files, retrieves, forms, correspondence, and documents.
- Enters data into computer; prepares, formats, and types correspondence, reports, and other documents from written drafts or transcription.
- Takes abbreviated meeting notes as needed.
- Performs a variety of general office support duties (e.g., makes copies, prints, collates, scans documents, maintains calendar of activities, schedules meetings).
- Processes mail including receiving, sorting, time-stamping, logging, and distributing incoming and outgoing correspondence and packages.
- Compiles reports and summaries of work.
- Maintains and processes departmental records within the electronic document management system (EDMS).
- Provides front counter assistance to the public and directs inquiries to appropriate staff.
- Processes and records various financial transactions; receives, verifies, and accounts for monies, checks, and other negotiable transactions.
- Issues official receipts and ensures accuracy of payments for departmental fees and services.
- Maintains and balances a daily cash drawer; reconciles total daily transactions against system reports.
- Receives and responds to correspondence and operates a variety of office machines.
- Answers incoming calls; determines and undertakes routing to the proper party; records and delivers messages.
- Prepares and processes confidential and sensitive documents.
- Regular and reliable attendance is required.
- Performs other duties as assigned.
Pay
This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.
